BVi Consulting Engineers Western Cape (Pty) Ltd has a vacancy for a Site Staff Admin Coordinator & Office Assistant in their Cape Town office.

Key Responsibilities for the role:
  • Liaise with site staff employees for project administration.
  • Assistance with travel arrangements for site employees.
  • Liaise with Project Leaders, Office Accountant & HR Regional Manager for site employees' temporary accommodation.
  • Assist site employees with Business Expense Claims.
  • Assistance with company vehicle administration.
  • Maintain site equipment log and arrange maintenance.
  • Assist site staff with basic IT queries.
  • Verify travel claims and prepare data summaries.
  • Maintain site employees' costs & benefits schedule.
  • Upload of requested documentation to Client's Portal.
  • Updating of site employees' CV's.
  • Scheduling site employees' leave.
  • Liaise with department administrative employees and project leaders for general administration support.
  • Provide administrative support to the HR Regional Manager.
  • Alternating relief of switchboard management and reception.
  • Assist with capturing and formatting letters, correspondence, reports, etc.
  • Any other ad-hoc administrative support or reasonable duties.
Key Requirements for the role:
  • Grade 12 (Essential).
  • Secretarial Diploma or Office/Site Administration qualification will be an advantage.
  • Minimum of 3 - 5 years' experience in office administration & site administrative coordination and support.
  • Excellent communication skills on all levels - fully bilingual.
  • Proficient in English reading and writing.
  • Exceptional interpersonal skills - exhibits a professional manner in dealing with others.
  • Excellent professional work standard.
  • Ability to work under pressure, multitask and prioritize.
  • Confidentiality - must be trustworthy, maintain employee information as confidential and able to take responsibility.
  • Strong organizational skills with special attention to detail.
  • Attendance & dependability - must be dependable on to report to work at the scheduled time and is seldom absent from work.
  • Have proficient experience with the following Computer Software Programs:
    • Windows
    • Microsoft Word
    • Microsoft Excel
    • Outlook
    • Familiarity with ITIS is an advantage
