Job Description

The Contracts Administrator will form part of the Legal Department, supporting the Contract Management function in the administration, coordination, and monitoring of contractual, commercial and reporting activities across EPC renewable energy projects.

The role is focused on ensuring contractual compliance, maintaining accurate records, supporting claims and variation processes, and assisting the Contracts Manager in managing contractual risk and correspondence.

Contract Administration & Compliance
  • Maintain and manage contract registers (correspondence, claims, variations, payment, risk and notices registers).
  • Ensure proper filing and document control of all contractual communications and records.
  • Monitor compliance with key contractual obligations under the EPC Contract, PPA, and related agreements.
  • Track contractual timelines, including notices periods, submissions, and deliverables.
Contractual Correspondence
  • Draft contractual correspondence (letters, notices, responses) in line with project requirements and contractual provisions.
  • Assist in reviewing incoming Contractor and stakeholder correspondence and flag contractual risk or non-compliance.
  • Ensure all communications are properly referenced, recorded and aligned with contractual standards.
Claims, Variations & Commercial Support
  • Assist in the review and administration of Contractor claims and variation submissions.
  • Track status of claims and variations, including timelines, supporting documentation, and approvals.
  • Support the assessment process by coordinating inputs from technical, commercial, and legal stakeholders.
  • Assist in maintaining cost and variation tracking against approved budgets.
Payment & Financial Administration
  • Assist in the validation of payment applications in accordance with contractual milestones.
  • Support the preparation of payment certificates and ensure alignment with contractual requirements.
  • Verify supplier and contractor invoices against approved work and contract terms.
  • Assist in tracking contingency usage and supporting documentation.
Programme & Reporting Support
  • Support the review of Contractor programmes and progress updates for reporting purposes.
  • Assist in identifying deviations from baseline programmes and flagging potential delays.
  • Updates the commercial and contractual sections of monthly project reports.
  • Assist in preparing inputs required for internal and lender reporting obligations.
Meetings & Stakeholder Coordination
  • Attend site progress meetings and commercial meetings where required.
  • Follow up on action items relevant to contract administration.
Procurement & Supplier Administration
  • Assist with onboarding of suppliers and contractors onto internal systems.
  • Support contract reviews for new supplier and subcontractors.
  • Ensure all supplier documentation aligns with contractual and commercial requirements.
General Support
  • Assist the Contract Manager with ad hoc contractual, commercial, and reporting tasks.
  • Provide support across multiple projects where required.
Reporting Relationship
  • The Contracts Administrator reports directly to the Contracts Manager.
  • The role may be required to support broader project functions, including commercial, legal and project management teams, from time to time.
Desired Skills & Qualifications
  • B-Tech Engineering or equivalent; or
  • BCom Law/LLB (with demonstrated interest or exposure to construction/engineering contracts);
  • Additional qualification in Contract Management or Construction Law is advantageous.
Experience
  • 1-3 years' experience in contract administration, construction, or renewable energy project.
  • Exposure to EPC contract or similar large infrastructure contracts is advantageous.
Skills and Competencies
  • Strong understanding of contractual processes and attention to detail
  • Ability to read, interpret and work with contractual documents.
  • Strong written communication skills, particularly for formal correspondence.
  • Organized and deadline-driven with the ability to manage multiple tasks.
  • Proactive, with the ability to identify risks and escalates appropriately.
  • Ability to work within a multidisciplinary and matrix project environment.
  • Strong stakeholder coordination skills.
  • Willingness to learn and develop within a contract management function.
  • High level of integrity and accountability.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Health and Safety awareness within a construction environment.
