Senior Administrative Assistant - A dynamic and fast-growing company within the technology and client services environment is seeking an experienced and highly organized Senior Administrative Assistant to join their team in a hybrid role based in Randburg. Reporting directly to the General Manager, this role offers an exciting opportunity for a proactive and professional individual who thrives in a fast paced environment and enjoys managing high level client communication, operational coordination, and executive support functions. The successful candidate will immediately step into a key coordination and communication role, managing a large corporate client that requires significant operational attention. Additional client portfolios may be added to the role over time.
Responsibilities- Executive & Administrative Support
- Manage daily communication with clients and end users, including operational support, customer queries, system bug logging, reporting requirements, and ad hoc communication.
- Screen and manage incoming communication including emails, calls, and correspondence.
- Draft, proofread, and manage sensitive internal and external communications professionally.
- Coordinate executive and cross departmental meetings, including agendas, preparation of supporting documentation, minute taking, and distribution of meeting outcomes.
- Coordinate efficient hand off and resolution processes with support teams to ensure timely and high level assistance.
- Office & Client Support
- Conduct refresher training sessions for clients to ensure efficient use of company systems and processes.
- Provide ongoing administrative and operational support to clients where required.
- Project Coordination
- Assist the General Manager and department heads with the administrative coordination of special projects.
- Track deadlines, monitor project status, and coordinate internal deliverables.
- Collaborate with internal teams to resolve operational and technical challenges during implementation phases.
- Act as a trusted advisor to clients, ensuring a smooth and professional client experience throughout project launches and implementations.
- Reporting & Executive Support
- Prepare, format, and compile confidential executive level reports and presentations for senior management.
- Ensure all reporting is accurate, professional, and aligned with company standards.
- Compile internal reports regarding key account status, strategic risks, and growth opportunities.
- Attend meetings to present reports, updates, and operational feedback where required.
- Internal Collaboration & Process Improvement
- Act as the primary liaison between key accounts and internal departments, including Sales, Product Development, and Support teams.
- Coordinate cross functional communication and resource alignment.
- Lead or assist with internal projects relating to process improvements, product testing, and operational efficiencies.
- Collaborate with internal teams to improve overall client experience and service delivery.
- Support additional internal projects and initiatives as required by management.
- Strong interpersonal and communication skills with the ability to build rapport and trust with clients.
- Excellent organisational and time management skills.
- Exceptional discretion and professionalism when handling confidential information.
- Expert proficiency in Google Workspace and administrative/project management software.
- Strong Excel and Google Sheets skills.
- Strong attention to detail and ability to manage multiple priorities effectively.
- Ability to work independently and manage communications autonomously.
- Strong logistical, scheduling, and coordination abilities.
- Self managed, proactive, and solutions driven approach.
- Strong ability to learn and adapt to new systems and technologies quickly.
- Excellent problem solving and client service skills.
- Bachelor's Degree in Business, Communications, or a related field (or equivalent practical experience).
- Minimum of 8 years relevant administrative, executive support, or coordination experience.
- Experience working with CRM systems will be advantageous.
- Previous experience within the technology industry will be beneficial.
- This is a hybrid role, consisting of part time office based work in Randburg and part time remote work.
- The role may evolve over time based on operational and client requirements.
