OverviewSeeking a highly organized, proactive, and commercially astute Professional Assistant to provide dedicated support to the CEO in a fast paced luxury residential property development environment.
This is not a traditional administrative PA role. The successful candidate will work very closely with the CEO, acting as a true right hand support function across executive, operational, and project related matters. The role requires someone who is highly engaging, detail oriented, and capable of becoming deeply involved in the day to day running of the business.
The Professional Assistant will shadow the CEO extensively, attend meetings alongside him, take accurate minutes, follow up on action items, and ensure communication and operational execution across the business remain seamless. The ideal candidate will become a central point of coordination within the office and should be confident engaging with staff, consultants, service providers, and stakeholders on behalf of the CEO.

Executive Support to the CEO- Shadow the CEO in meetings, project discussions, and business engagements
- Attend meetings with the CEO, take detailed minutes, and distribute actionable follow ups
- Ensure all action items are delegated to the relevant individuals and followed through to completion
- Act as an extension of the CEO within the business when he is unavailable or out of office
- Maintain a strong understanding of ongoing projects, operational matters, and business priorities
- Confidently engage with internal staff and external stakeholders on behalf of the CEO
- Filter and manage incoming communication, ensuring urgent matters are prioritized appropriately
- Manage the CEO's diary, meetings, travel arrangements, and flight bookings
- Coordinate appointments, presentations, and executive schedules
- Prepare reports, presentations, meeting packs, and correspondence
- Maintain confidential records, documentation, and filing systems
- Assist with office coordination and executive administration
- Lead with architects, contractors, engineers, attorneys, consultants, municipalities, and suppliers
- Assist with coordinating development timelines, approvals, and project administration
- Monitor project progress and follow up on outstanding matters
- Coordinate internal meetings and ensure operational communication remains streamlined
- Support various departments with administrative and project-related coordination
- Build strong relationships with internal teams and external stakeholders
- Become familiar with the operational flow of the business to assist in resolving day to day queries
- Maintain a professional and approachable presence within the office environment
- Ensure high standards of communication and professionalism are upheld across all interactions
- 5+ years' experience in a Professional Assistant, Executive Assistant, or senior support role
- Previous experience within property development, real estate, construction, or a fast paced corporate environment preferred
- Tertiary qualification preferred
- Strong ability to manage multiple priorities and work under pressure
- Exceptional organizational and communication skills
- Strong attention to detail and follow through capability
- High level of discretion and confidentiality
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Ability to take ownership, think proactively, and operate independently
- Valid driver's licence and own reliable transport advantageous
