PA - Receptionist & Administrator
Job Description
PA FUNCTIONS
- Manage diary and travel logistics
- Screen and direct calls & emails and distribute correspondence
- Manage information flow in a timely and accurate manner which includes the format of information for internal and external communication
- Compile and share minutes of meetings with relevant stakeholders
- Manage all request for payments-allocate accordingly and reconcile budgets monthly
- Collect, collate and prepare data for monthly BI dashboard reporting purposes
- Co-ordinate, project manage and assist with ad-hoc projects as required
- Flight and accommodation bookings
- Collaborate with SPW marketing to facilitate all client and intermediary events
RECEPTION FUNCTIONS
- Ensure reception area is always tidy and presentable
- Welcome and direct visitors as they arrive
- Answer incoming calls and direct them to the appropriate person
- Manage meeting room bookings and calendars
ADMINISTRATIVE FUNCTIONS
- Order all branded and general stationery and manage the storage of corporate items
- Order office supplies
- Manage incoming and outgoing post and liaising with courier companies
- Creditors and expense claims
- General office management
- PDCLOP - verifying daily transactions
- Dividend withholding tax claims
- Manage ClientCare mailbox and client queries
- SIRON/ORMS client screening (Back-up only)
- THIS IS ME verification screening (Back-up only)
- Adhoc administration duties as and when required
- Tertiary Qualification
- 3-5 years' experience
- Experience in taking minutes
- Own transport and Driver's License;
- Excellent MS Office knowledge
- Excellent verbal and written communication skills (English & Afrikaans)
- Outstanding organisational and time management skills
- Ability to perform well under pressure and show maturity, confidence and resilience
- Strong numerical orientation
- Highly organized with a high level of customer focus
- Accurate and detail orientated
- Critical and analytical capabilityExcellent listening, communication and interpersonal skills
