Job Description
We're a portfolio of fast-growing creative and marketing agencies. Five companies and counting, including InBeat, Content Allies, BlueThings, and AAG. We've doubled revenue year-over year for the past three years and currently employ over 200 team members across the portfolio.
We're scaling fast, and the operational backbone needs to match. Many of our core systems. From project management to client delivery to cross agency collaboration, these processes need to be rebuilt, redesigned, and unified. That's where this role comes in.
The RoleWe're hiring a Head of Operations to partner closely with the COO (Jake) and the executive team to build, document, and scale operational systems across the portfolio. This is a high ownership, systems builder role focused on designing clean, scalable workflows that support cross functional teams and inter company collaboration.
You'll run weekly ops sprints with department leads to identify bottlenecks and build solutions. You'll ship workflows that are smart, elegant, and clearly documented. And you'll help establish a portfolio level operating model that allows our agencies to work together fluidly as we scale to 10+ companies.
Responsibilities- Design and implement internal systems across departments: project management, sales ops, delivery, creative ops, finance, recruiting, etc.
- Collaborate with COO to lead weekly operational "sprints" focus on one system per week, ship it, QA it, and roll it out
- Interview team members, map pain points, and translate into clear process improvements.
- Build and manage system documentation SOPs, workflows, visual maps, and internal training
- Work across multiple tools: ClickUp, Airtable, Zapier, Notion, Pipedrive, Loveable, Make, n8n, and others
- Create architecture and process logic for internal automations and inter tool workflows
- Help shape the portfolio operating model, how brands work together, share services, and scale.
- Coordinate with department leads (Sales, UGC, Influencer, Creative, AMs, Finance) to implement and refine systems.
- Eventually, help manage and mentor future ops hires as the team grows.
- 6+ years of experience in operations, systems design, or product management
- Deep proficiency in building with tools like ClickUp, Airtable, Zapier, Notion, Pipedrive, Make, Loveable, n8n
- Experience managing operations across multiple teams or companies
- Strong documentation skills - clear SOPs, visual workflows, and internal guides are second nature to you
- A user experience mindset - you build systems that are thoughtful, intuitive, and usable
- High standards for quality, detail, and follow through
- Experience working in agile/sprint based operations environments
- Past experience managing or mentoring operations team members
