The Logistics Coordinator at Ello Technology is responsible for managing the end to end coordination of deliveries, collections, stock movements, and fleet servicing activities across the business. This role supports the operational continuity of Ello's decentralized structure by ensuring hardware, components, documents and other critical assets are delivered accurately and on time to clients, internal teams and suppliers. In addition to physical logistics, the role includes proactive vehicle maintenance scheduling, SLA aligned client interaction, adherence to internal SOPs and maintaining service quality that supports client retention and operational efficiency.
90-Day MissionBy Day 90:
- Deliveries and collections are completed consistently within SLA timeframes
- Vehicle maintenance and compliance are fully up to date
- All logistics activities are accurately logged and tracked in Zoho
- Client communication is clear, proactive and professional
- Tasks are completed on time with high accuracy and minimal rework
- Service quality is consistent and contributes to a positive client experience
- Coordinate and execute timely deliveries and collections of IT hardware, accessories, contracts or consumables from clients, suppliers and inter office transfers.
- Ensure all logistical activities align with internal and client specific SLA timeframes.
- Accurately log all movements and task closures in Zoho Desk or designated platforms.
- Monitor and report on the condition of returned equipment, packaging and paperwork.
- Communicate proactively with clients regarding delivery times, delays and any changes in collection schedules.
- Use WhatsApp, Teams, email or Zoho communication tools to confirm dispatches or expected arrivals.
- Maintain 100% compliance with vehicle maintenance schedules, including servicing and licensing.
- Conduct basic vehicle checks weekly (tyre pressure, oil levels, cleanliness, tool kits).
- Keep accurate records of all services, repairs and incident reports in the asset or fleet management system.
- Maintain a 95%+ satisfaction rating on all logistical interactions.
- Avoid service related complaints or equipment damage due to mishandling or late arrival.
- Collaborate with technical teams to ensure logistics supports a smooth client experience and successful onboarding.
- Follow internal SOPs for packaging, client handovers, vehicle checks, PPE use and handling of sensitive items.
- Ensure documentation is completed accurately and archived correctly.
- Complete all assigned tasks, tickets and logistics jobs on time, with proper documentation and closure.
- Maintain >98% on time task completion rate, with minimal corrections or escalation required.
- Use Zoho Desk to log all updates, communications and notes clearly and consistently.
- Attend scheduled internal training sessions including safety refreshers and customer service skills.
- Stay up to date with evolving SOPs, documentation expectations and tools used by the logistics and support teams.
- Log a minimum of 172 hours per month, with accurate daily time logs.
- Ensure all time entries reflect actual work performed and align with tickets or project activities.

Skills & Qualifications- Matric certificate or equivalent.
- 1-2 years of experience in logistics, courier or dispatch role.
- Familiarity with GPS and delivery route planning tools.
- Strong organisational and time management skills.
- Ability to lift, carry and secure IT equipment and other medium weight packages.
