Job Description

The Operations Manager is responsible for financial tracking, operational reporting, resource planning, and process management. This role partners directly with the CEO to ensure budgets, workflows, and systems are accurate, efficient, and well-documented.

This is a detail-heavy, spreadsheet-intensive role requiring strong analytical and process discipline.

Core Responsibilities

Financial Oversight
  • Track company and client budgets
  • Monitor spending and variance against forecasts
  • Conduct cost-benefit analyses
  • Maintain invoice and expense tracking systems
  • Reconcile financial records
  • Prepare monthly financial and performance reports
Reporting & Data Management
  • Build and maintain operational dashboards
  • Develop and manage detailed spreadsheets for:
    • Budget tracking
    • Resource allocation
    • Contractor utilization
    • Project timelines
    • Department KPIs
  • Ensure data accuracy and version control
  • Provide structured reporting and recommendations to leadership
Process & Systems
  • Design, document, and improve operational processes
  • Build and maintain SOPs
  • Identify workflow inefficiencies and implement improvements
  • Evaluate and implement tools to improve operational efficiency
  • Maintain organized digital filing and documentation systems
Resource & Vendor Management
  • Track team and contractor capacity
  • Forecast resource needs based on workload
  • Maintain vendor and contractor database
  • Monitor vendor performance and spending
  • Track project assignments, deadlines, and deliverables
Cross-Functional Coordination
  • Coordinate workflows across departments
  • Monitor timelines and deliverables
  • Identify and resolve bottlenecks
  • Maintain centralized project tracking systems

Required Experience & Skills

  • 5+ years in operations
  • Advanced Excel proficiency (required)
  • Strong spreadsheet modeling and reporting skills
  • Experience with (required)

  • Proficiency in Microsoft Office
  • Experience with project management software
  • Strong analytical skills
  • Exceptional attention to detail
  • Ability to manage multiple priorities and deadlines
