Job OverviewWe are looking for a highly organised and detail-oriented Operations Administration & Data Manager to oversee operational administration, compliance tracking, and data integrity across multiple systems within the business. This role is responsible for ensuring that all operational records, fleet documentation, subcontractor compliance, and system data remain accurate, aligned, and up to date. The successful candidate will play a key role in maintaining operational control, supporting compliance readiness, and driving administrative excellence across the operation.
Key Responsibilities- Oversee and control all operational administration functions across the business, ensuring accuracy, completeness, and alignment across systems and records.
- Manage critical fleet and compliance administration including licensing, COFs, insurance, maintenance tracking, toll accounts, and operational documentation.
- Own and maintain operational master data across multiple operational systems, ensuring all information remains accurate, aligned, and up to date.
- Identify, investigate, and resolve operational data discrepancies, administrative gaps, and system inconsistencies proactively.
- Enforce operational data and administrative standards, including rejecting, escalating, and correcting incomplete or non-compliant submissions and updates.
- Oversee subcontractor administration and compliance management, ensuring all required documentation and records remain valid and audit-ready.
- Coordinate and validate operational reporting, ensuring data integrity, reporting accuracy, and visibility of operational risks or outstanding items.
- Monitor compliance deadlines and ensure proactive management of expiries and critical operational requirements.
- Supervise and support the Operations Administrator, ensuring work quality, task completion, and adherence to operational standards.
- Coordinate with operational, finance, workshop, and support departments to ensure alignment of operational records, system information, and compliance documentation.
- Support audits and ensure all operational administration and compliance records remain structured, accessible, and audit-ready at all times.
- Drive adherence to operational administrative processes and continuously identify opportunities to improve control, accuracy, and operational efficiency.
