Instructional Assistant - English/Humanities, Math and Social Sciences
Job Description
Provides principle administrative support to the assigned division(s) and Coordinator of Instruction. Supports faculty, manages supplies and equipment, creates and maintains documentation, coordinates meetings, assists with grant and safety management, supports college catalog updates, records course schedules and payroll processes, maintains data for partners, and engages in staff development activities.
Essential Duties and Responsibilities- Maintain knowledge of duties and functions of the division and staff to provide appropriate support.
- Order and maintain supplies and equipment for laboratories and stock rooms.
- Assist faculty with operational support (copies, mail, office supplies, IT work orders, facilities).
- Take divisional, program advisory, and other minutes as directed by the Coordinator of Instruction.
- Collect and verify faculty forms (travel authorization, reimbursement, timesheets).
- Coordinate program advisory meetings for instructional programs.
- Maintain accurate documentation in shared folders (syllabi, course outlines, door schedules, minutes).
- Participate in staff development activities to enhance job performance.
- Plan and coordinate special college events.
- Support grant management when funding is available.
- Assist in developing and enforcing safety practices in instructional laboratories.
- Provide requested data to college partners and internal stakeholders.
- Verify inventory lists annually.
- Participate actively in the planning process.
- Assist in course scheduling and payroll processes.
- Review the college catalog annually for updates or changes.
- Post door schedules and room change notifications.
- Create an adjunct list each semester and collect evaluation materials.
- Coordinate textbook orders and maintain up-to-date records of changes.
- Schedule divisional meetings and manage invites in Outlook.
- Perform other job specific duties as assigned, including support for other academic divisions.
- Maintain a clean and safe work area.
- Ability to read, analyze, and interpret common business correspondence and reports.
- Ability to articulate professional responses to inquiries from students, faculty, staff, or the public.
- Ability to write using proper grammar and punctuation.
- Ability to effectively present information to a variety of audiences.
- Proficiency in standard mathematical operations (addition, subtraction, multiplication, division) as required for the division.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Understanding of and commitment to the unique nature of the college and the community college system philosophy.
Associate degree in a relevant field or related field of the division served; proficiency in Microsoft Word and Excel; effective oral and written communication skills; ability to coordinate and prioritize office duties.
Preferred QualificationsExperience in an educational office setting with strong technical knowledge.
Physical Demands and Work EnvironmentThe role requires regular speaking or hearing, frequently sitting, standing, walking, and using hands for various tasks. Occasional lifting of up to 10 pounds may be required. The position may involve exposure to outdoor weather conditions and normally quiet noise levels.
