We are seeking a detail-oriented and efficient HR Administrator to provide comprehensive administrative support across all areas of the HR function. This role is essential to ensuring accurate record-keeping, smooth HR operations, and compliance with labour legislation throughout the employee lifecycle.
The ideal candidate will demonstrate strong organisational skills, high confidentiality, and the ability to work under pressure while delivering accurate and timely HR support.
Key Responsibilities 1. HR Administration & Employee Records- Maintain accurate and up-to-date employee files (electronic & hard copy)
- Update employee information on HR systems
- Draft employment contracts, addendums, and confirmation letters
- Process onboarding and exit documentation
- Maintain probation tracking and confirmation schedules
- Ensure adherence to POPIA and confidentiality standards
- Prepare payroll inputs (new hires, terminations, leave, overtime, deductions)
- Assist with payroll reconciliation and validation
- Support statutory submissions (UIF, COIDA, EMP201/501 where required)
- Maintain leave records and manage absenteeism
- Assist with IRP5 documentation
- Assist with drafting job advertisements
- Conduct reference and qualification checks
- Prepare offer letters and employment contracts
- Facilitate induction and onboarding processes
- Prepare documentation for disciplinary hearings
- Schedule hearings and maintain related records
- Support grievance administration
- Maintain union-related documentation where applicable
- Track performance management and warnings
- Compile monthly HR reports (headcount, absenteeism, turnover, vacancies)
- Update HR dashboards and trackers
- Prepare HR documentation for audits and inspections
- Assist in maintaining HR policy libraries
- Support implementation of HR policies and SOPs
- Ensure compliance with BCEA, LRA, EEA, Skills Development Act
- Assist with WSP/ATR documentation where needed
- High level of confidentiality and integrity

Minimum Qualifications & Experience
- Diploma or Degree in Human Resources, Industrial Psychology, or a related field
- 2-5 years' experience in an HR administrative role
- Strong knowledge of South African labour legislation
Advantageous
- Experience in a regulated or manufacturing environment
- Exposure to a unionised workforce
- Experience with HRIS systems (e.g., Sage, Xero Payroll, SAP)
