1. Position Purpose

The Finance & Administrative Officer is responsible for managing debtor administration, billing, collections, lease administration, and general accounting and administrative support across the education and property portfolios of the organisation.

The primary focus of the role is the effective management of school fee billing and debtors administration for the primary school, ensuring healthy cash flow, accurate financial records, and professional engagement with parents and stakeholders.

In addition, the role serves as the primary point of contact for tenants within the property portfolio, overseeing lease administration while supporting broader finance and administrative functions across the business.

2. Key Role Objectives

The role exists to:

  • Ensure accurate and timely billing and debtors administration
  • Maintain healthy collection processes and cash flow
  • Support parents professionally and respectfully regarding accounts
  • Manage tenant communication and lease administration processes effectively
  • Provide reliable bookkeeping and administrative support
  • Support finance and operational teams with ad hoc accounting and administration tasks
  • Maintain accurate records, reporting, and compliance documentation
  • Deliver professional and solutions-oriented stakeholder engagement

3. Core Responsibilities

A. School Billing & Debtors Administration (Primary Function)

School Fee Management

  • Prepare and issue school fee invoices, statements, and ad hoc billing
  • Process receipts, allocations, journals, discounts, and account adjustments
  • Reconcile parent accounts accurately and timeously
  • Monitor overdue accounts and debtor aging reports
  • Follow up outstanding school fees professionally and consistently
  • Prepare weekly and monthly debtor reports
  • Support debit order administration and collections processes

Collections & Parent Account Engagement

  • Communicate with parents regarding overdue accounts
  • Maintain a professional, empathetic, and solutions-oriented approach
  • Escalate serious or unresolved matters appropriately
  • Assist with payment arrangements where authorised
  • Ensure all communication aligns with school values and policies
  • Maintain confidentiality and discretion at all times
  • Serve as the primary point of contact for tenants
  • Manage lease administration
  • Maintain accurate tenant and lease records
  • Process daily bank transactions and reconciliations
  • Capture financial transactions into the accounting system
  • Assist with month-end accounting support
  • Maintain supporting documentation for audits and compliance

D. General Administrative & Accounting Support

  • Provide administrative support to finance and management teams
  • Assist with filing, reporting, and record management
  • Handle ad hoc accounting and administrative duties

We are seeking a highly organised, detail-oriented, and professional Debtors & Administrative Officer to join our team in Salt Rock.

The primary focus of this role is managing school billing, debtors administration, and collections for a primary school, while also overseeing tenant liaison and lease administration for a property portfolio.

The successful candidate will additionally provide bookkeeping, accounting, and general administrative support across the business.
