Facilities Administrator

As a Facilities Administrator, you will provide comprehensive support to the business by building strong relationships with key stakeholders, maintaining trackers, procuring goods and services, overseeing building maintenance, and managing projects. You will report directly to the Site Manager.

Day-to-Day Responsibilities

You will be responsible for developing, monitoring, coordinating, and implementing the company's administrative processes while liaising with service providers to ensure the highest level of service delivery to the business. You will manage, distribute, and monitor office supplies and maintain a clean and orderly reception area. You will oversee lockers, including procurement, allocation and tracking, and handle asset control including tracking and issuing equipment. You will assist with liaising and addressing requests from the landlord, support facility and maintenance tasks, arranging callouts as needed, and supervise onsite work teams and contractors as required.

You will allocate and manage access control in compliance with company and landlord standards, have general oversight of soft services on the site including cleaning and security teams, coordinate and track parking bay assignments, address facility emergencies promptly, and demonstrate flexibility to work across multiple sites. You will promote a health and safety culture within the business, handle all transport-related inquiries, oversee booking applications for new joiners, movers and leavers, coordinate staff pick-up and drop-off times, follow established procedures for handling complaints related to onsite pick-ups and drop-offs, monitor and report on transport efficiency and occupancy rates, track and report on transport audits, and liaise with client services to coordinate pick-ups and drop-offs for clients.

Requirements
  • Matric (Grade 12) or equivalent qualification.
  • Administrative Diploma or equivalent is advantageous.
  • Previous experience in a similar role (advantageous).
  • 2-3 years' experience completing administrative duties.
  • Proficient skills in the use of Microsoft Office products, particularly Excel.
  • Strong sense of resilience while under pressure.
  • Good command of the English language (written and verbal).
  • Confident and thrive in pressured environments.
