Job Description
Salary: $900 with 10 days of PTO monthly accumulated.
This is a full-time, embedded role for a highly capable Executive Assistant & Sales Coordinator with proven experience in decorative lighting, interiors, design, manufacturing, or bespoke production environments.
You will act as the operational backbone of the business, managing day-to-day operations, driving the order lifecycle, supporting sales, and ensuring an exceptional client experience. This role requires someone who understands the nuances of a production-led business and can step in with confidence from day one.
This is not a role for someone who needs direction at every turn. It is for someone who is commercially aware, operationally strong, and able to think ahead, take ownership, and execute.
What You'll Be DoingTaking full ownership of daily operations and administration across the business
Acting as the primary point of contact for clients via phone, email, and WhatsApp - maintaining a high level of responsiveness and professionalism
Managing the full order lifecycle from confirmation through to delivery, ensuring timelines are met and issues are proactively addressed
Supporting and driving the sales process - following up on quotes and leads, nurturing client relationships, converting enquiries, and identifying upsell opportunities
Building strong, long-term client relationships that lead to repeat business and referrals
Coordinating production workflows, suppliers, and timelines within a bespoke or made to order environment
Assisting with product costing, pricing structures, and custom specifications
Identifying inefficiencies and implementing process improvements without being prompted
Building and maintaining systems that support organisation, visibility, and scalability
Communicating consistently with the CEO via WhatsApp - staying aligned on priorities, updates, and business activity at all times
Operating as a trusted right-hand to the CEO, supporting both operational and commercial priorities
Proven experience in decorative lighting, interiors, design, manufacturing, or a production/bespoke goods environment (non-negotiable)
Demonstrated experience in sales support, coordination, or direct sales, with the confidence to follow up, manage client relationships, and close opportunities
Strong understanding of how production, operations, and sales intersect in a custom or order led business
A fast moving, independent thinker who takes full ownership and initiative
A self starter who is comfortable making decisions and keeping momentum without constant oversight
Strong operational and business support background with exceptional attention to detail
Advanced Excel skills and confidence working with data, pricing, and order tracking
Excellent written and verbal communication skills - clear, professional, and client focused
Highly organised, with the ability to manage multiple moving parts simultaneously
Comfortable working closely and communicating frequently with the CEO via WhatsApp
Reliable, responsive, and present during working hours
You already understand this industry - how clients think, how production flows, and where things can go wrong. You don't need hand holding to get started.
