What Will You Do?- Stores Controlling: Receive goods/deliveries to ensure that items ordered are received in the quantities ordered - GRN (3 way match). Visually inspect goods for any defects before receiving them from suppliers. Ensure stock is packed in designated places and that there is enough storage for items received, in accordance with set standards. Ensure that all receipts comply with AX, SOX, and GOM processes and procedures. Ensure all raw material stock, WIP, and consumables are picked and issued in accordance with Business processes, AX, SOX, and GOM requirements using Pick lists and requisitions. Ensure that all queries are attended to and internal customers as well as vendors are provided with feedback to ensure that problems do not elevate. Conduct stock taking every three months to ensure there are adequate stock levels according to set standards and within the agreed framework. Ensure adherence to environmental, health, and safety standards to ensure all operations are conducted in a safe manner. Ensure the receiving area is maintained to comply with good housekeeping policies and procedures.
- Factory Recovery Admin: collate, check for correctness and completeness of all factory recovery hours, data capturing, e mail to HO (make corrections if required). Accurate, timeously supplied to achieve month end deadlines, according to procedure.
- Queries: Attend to queries, elevate, and follow up (timesheets, stores pickings, queries from production staff, Howden Projects, and other departments).
- Project Admin Support: Support Howden Projects, CIGC, with project invoicing and act as a backup for AX project support.
- Flowmeter Calibration: Perform flowmeter calibrations as required.
- At all times, adhere to procedures, instructions, quality, and safety standards.
- SOX Compliance: Adhere to Sarbanes Oxley and AX controls.
- Grade 12 / National Senior Certificate.
- Proficient in MS Office with an intermediate level of Microsoft Excel mastery.
- At least 3 years of experience as a Stores and Office Administrator in an Industrial environment.
- Proficiency with stores administration, including Goods Received Notes (GRN) and dispatch documentation.
- Knowledge of Inventory control.
- Prior ERP system experience.
- Clear communicator (must be able to understand and be understood well).
- Planning and organising.
- Ability to multitask without losing effectiveness.
