About the Role

Duties and Responsibilities

Administrative Support

  • Provide daily administrative and coordination support to the Executive PA.
  • Assist with diary management, meeting scheduling, confirmations, and follow-ups.
  • Prepare, format, and manage professional correspondence, reports, and executive documents.
  • Ensure all documentation is accurate, properly structured, and correctly filed.

Operations and Workflow Coordination

  • Track tasks, deadlines, and deliverables across multiple projects and business units.
  • Follow up with internal teams, suppliers, and stakeholders on outstanding actions.
  • Maintain trackers, checklists, and basic reporting tools to support operations and decision-making.
  • Support tender, procurement, compliance, and project documentation when required.

Communication and Professional Representation

  • Act as a professional first point of contact when required.
  • Communicate clearly and professionally with internal and external stakeholders.
  • Maintain confidentiality, discretion, and professional conduct at all times.
  • Identify inefficiencies and suggest improvements to administrative and operational processes.
  • Take initiative in learning company systems, policies, and operational standards.
  • Support the Executive PA in implementing structured systems and controls.
Qualifications and Requirements

  • A Diploma or Degree from a registered and reputable institution.
