The role is responsible for all aspects of the Centre's day-to-day operation. The Centre Manager is responsible for the management of facilities, services and processes that support the facilities and property department's strategy, ensuring that best business practices are utilized to improve efficiency, by reducing operating costs whilst increasing productivity. Importance is placed on the ability of the Centre Manager to maintain and improve the service ethic. The role and responsibilities for all aspects of Centre day-to-day operation and to provide advice, assistance and follow-up on Centre problems and tenant-related enquiries.
- Meeting with team and all service providers and discuss issues.
- Management of centre employees and service providers.
- Management of cleaning; security; Landscaping and parking.
- Handling all tenant and shopper queries, within 24 hours or immediately if possible and ensuring that all complaints are reported to Head Office timeously.
- Monitoring of social media platforms for positive or negative publicity and ensuring that the Marketing Team and Head Office team are made aware of same.
- Attending and reporting to any problems that may arise.
- Multiple site walks of back and front of house.
- Discuss maintenance with contractors on site
- Sign on and off all contractors on site when at the Centre.
- Requesting of quotations and ensure that all motivations are detailed, and all quotes are attached.
- Attend to construction sites (while in progress).
- Inspect work completed by contractors.
- Compose correspondence through way of letters, email and reports.
- Attend status meetings when required.
- Control expenditure and look at ways to increase/optimize revenue or decrease expenses.
- Report incidents to Head Office timeously for insurance purposes and complete documentation accurately and in full.
- Attend Service provider Meetings.
- Marketing discussions and planning.
- Sign off invoices and job cards to support that Centre Manager approves of work completed
- Motivate any maintenance requests required and refer to Portfolio Manager
- Compile Centre Management Report for Management Packs.
- Ensure that there is a full understanding of the accounts and variances report prior to the Management Meeting.
- Attend monthly management meetings
- Analyse and report on trading and parking performance. Do foot count comparison which must identify and address key or important issues.
- Assist Leasing Manager in regard to tenant leasing space in the Centre and drafting where required Leasing documents.
- Collect turnovers and input into MDA
- Analyse and interpret monthly turnovers by discussing the status with the tenants and provide Head Office with a report of the monthly turnovers and the reasons for under/over performance of tenants.
- Ensure that all payment invoice batches have been sent to Head Office within the given timeline
- Oversee that Centre records and Asset Register are kept up to date and maintained.
- Ensure building compliance based on preventative maintenance schedule
- Compile Annual Budget.
- Provide yearly wish list.
- Compile a 5-year Maintenance Plan.
- Administration/General
- Keep updated tenant contact list
- Oversee tenant installation.
- Management of beneficial occupation and exits. This includes the management of timelines as set out and in respect of the lease agreement. Timeous project updates to be provided to Head Office.
- Ensure completion and distribution of BO and exit documents which is to be distributed to Head Office and Meter reading company.
- Management of marketing/events/promotions for Centre.
- Assist Portfolio Manager and Leasing Manager in regard to tenant leasing at the Centre.
- Maintenance Diary management.
- Maintaining proper files for tenants and building services in line with Company policy and procedures.
- Administration, maintaining and distribution of all marketing matters to Tenants.
- Manage staff roster for weekend duty, time off and leave.
- Understand Centre's Financial position.
- Analyse and interpret the income and expense process through the income statement.
