We are seeking a highly organised and detail-oriented Service Administrator to support daily operational and administrative functions within a busy technical and service environment. The successful candidate will be responsible for coordinating service-related administration, job planning, quotations, invoicing, customer communication, reporting, and maintaining accurate records.
This role requires strong administrative ability, excellent communication skills, customer service focus, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities Administration & Reporting- Prepare quotations and process customer documentation.
- Link quotations, purchase orders, invoices, and delivery notes within the system.
- Compile reports based on installation and service feedback.
- Create and maintain customer and product databases.
- Ensure all accepted quotations include signed Terms & Conditions.
- Handle filing, reporting, and general administrative duties.
- Compile safety files and project documentation where required.
- Coordinate installation, service, maintenance, and breakdown schedules.
- Prepare job cards, paperwork, and documentation for service teams.
- Ensure accurate customer information and site details are recorded.
- Communicate daily job requirements with operational teams.
- Follow up on completed work and ensure all documentation is submitted correctly.
- Maintain customer files and update all relevant records upon completion of jobs.
- Deliver professional and efficient customer service at all times.
- Maintain positive client relationships and ensure customer satisfaction.
- Handle customer communication professionally and effectively.
- Assist customers with product and service information where necessary.
- Escalate potential sales opportunities to the relevant sales team members.
- Assist with maintaining accurate stock levels and inventory records.
- Support stock counting processes and discrepancy reporting.
- Ensure inventory systems remain updated and accurate.
- Capture and monitor biometric timekeeping records.
- Assist with resolving timesheet and attendance discrepancies.
- Prepare weekly and monthly reports for payroll purposes.
- Ensure adherence to payroll and overtime procedures.
- Maintain a clean, organised, and professional working environment.
- Ensure confidentiality of customer and company information.
- Assist team members and branches with administrative queries where required.
- Contribute positively to team culture and operational efficiency.
- Grade 12 certificate.
- Minimum 3 years' experience in a technical or service administration environment.
- Excellent administrative and organisational skills.
- Good telephone etiquette and customer service skills.
- Experience working with ERP systems advantageous.
- Fluent in English (spoken and written).
