Job Title: Hotel Reservationist
Location: Port Elizabeth
Department: Front Office / Reservations
Reports To: Front Office Manager / Reservations Manager

The Hotel Reservationist is responsible for managing guest bookings, handling reservation enquiries, and ensuring accurate and efficient processing of all accommodation reservations. The role supports the Front Office team in delivering excellent customer service while maintaining high levels of accuracy and professionalism.

Key Responsibilities
  • Handle all reservation enquiries via phone, email, and online platforms
  • Accurately capture and update guest booking details in the Property Management System (PMS)
  • Assist guests with room availability, rates, packages, and special requests
  • Process amendments, cancellations, and group bookings
  • Coordinate closely with the Front Office and Housekeeping teams regarding room status and availability
  • Perform reception duties as required, including guest check-in and check-out
  • Handle guest queries, complaints, and special requests professionally
  • Maintain up-to-date knowledge of hotel services, promotions, and policies
  • Ensure all reservations comply with company standards and procedures
  • Assist with daily reports and reservation reconciliations
Minimum Requirements
  • Minimum 1 year experience in a Front Office or Reservations environment within the hospitality industry
  • Experience working with a Property Management System (PMS)
  • Strong administrative and organisational skills
  • Excellent communication skills (verbal and written)
  • Customer service orientated with a professional approach
  • Ability to work under pressure in a fast-paced environment

  • Willingness to work long hours, including shifts, weekends, and public holidays
  • Ability to perform reception/front desk duties when required
  • High level of accuracy and attention to detail
  • Trustworthy and reliable with strong integrity
Financial Responsibility & Compliance
  • Responsible for handling cash, card transactions, and guest billing processes
  • Authorised to dispense and deposit company funds in line with internal controls
  • Subject to credit and fraud checks due to financial handling responsibilities
