REPORT TO: Senior Production Planner

KEY PURPOSE OF JOB

The Planning coordinator supports the production and testing teams by managing and coordinating all administrative, operational, and workflow activities across the manufacturing process. This role ensures that all jobs are accurately issued, tracked, and executed in line with production plans. It is responsible for the timely and precise processing of ERP transactions, maintaining system integrity, and ensuring full traceability of all manufacturing activities. Additionally, the role ensures alignment between physical operations and system data to support efficient, controlled, and compliant processes.

Key Duties and Responsibilities
  • Assist in the execution of production and testing activities by performing a wide range of administrative and coordination tasks, including the timely management of production and/or testing jobs.
  • Oversee, and assist where required, the issuing of production job sheets and related documentation in alignment with the production plan.
  • Track production and testing schedules, ensuring deadlines are met, and communicate any changes to the production team and planners.
  • Coordinate the execution of manufacturing and testing plans and elevate any deviations.
  • Proactively identify potential bottlenecks, clarify priorities (as set by planning), assess risks, and raise issues that cannot be resolved internally.
  • Support production and testing teams by coordinating the completion of tasks within the manufacturing management system.
  • Oversee, and assist where necessary, with system transactions related to requisitions, floor stock issuing, and material allocations for production.
  • Liaise with the Stores team to ensure adherence to the kitting plan and communicate or elevate any deviations.
  • Liaise with production and testing teams to ensure adherence to approved plans, raising any deviations as needed.
  • Liaise with report writing and review stakeholders to ensure targets are met and raise any delays or issues.
  • Liaise with shipping preparation stakeholders to ensure readiness and adherence to delivery targets, raising any risks or delays.
ERP and System Control Responsibilities
  • Ensure accurate and timely ERP transactions that reflect all physical movements by:
    • Receipting jobs or operations at each completed assembly level
    • Confirming quantities completed versus planned
    • Escalating discrepancies between physical output and ERP data
    • Maintaining accurate work in progress (WIP) data to support production planning and reporting
  • Maintain control of job level transactions throughout the production lifecycle, including job receipting and completion.
Qualifications & Experience
  • NQF Level 6 (diploma)
  • 1-3 years' experience in a manufacturing or warehouse environment.
  • Computer literacy (ERP systems advantageous).
  • MS Office experience.
  • Knowledge of or experience with SharePoint.
