Description

We are looking for a highly organised, proactive and detail-driven Personal Assistant to support senior management and play a key role across HR, finance administration and operations.

This is a fast-paced role requiring excellent multitasking skills, strong prioritisation and the ability to work independently while maintaining absolute confidentiality.

Key Responsibilities

HR & Finance Administration

  • Manage petty cash for multiple branches and capture transactions accurately
  • Capture supplier invoices and credit notes in Sage Accounting
  • Reconcile supplier statements and liaise with suppliers and accountants
  • Maintain staff attendance, overtime and leave records
  • Assist with staff onboarding documentation, credit applications and accreditations
  • Coordinate staff training, medicals, certifications and compliance records
  • Maintain calendars, schedule meetings and interviews for management
  • Manage office supplies, groceries, cleaning materials and service providers
  • Assist with staff events and company functions

Operations & Logistics

  • Book national travel (flights, accommodation and car hire) for teams
  • Maintain PPE, vehicle, training and equipment registers
  • Coordinate vehicle servicing, repairs and insurance claims
  • Capture monthly hours and kilometres on client compliance platforms
  • Liaise with external service providers (printers, vehicle tracking, safety platforms)
  • Support staff with system access and compliance platforms
  • Ensure offices are tidy, compliant and professionally maintained

Executive & Personal Support

  • Provide trusted PA support to senior management and Directors
  • Handle ad hoc administrative and personal requests with discretion
