Job Description

A boutique consultancy firm is seeking a meticulous and composed Virtual Assistant / Personal Assistant to provide comprehensive support to the Founder and the wider consultancy team for a pprox. 15-25 hours per month. This part time role is designed for a proactive professional who excels at creating order from chaos and ensuring the smooth operational running of a small, fast paced business.

The position offers significant flexibility, operating primarily on a remote basis with occasional in person touchpoints in Cape Town. It is an ideal opportunity for an organised individual who enjoys a mix of corporate administration and high level personal assistance.

Key Responsibilities
  • Executive Coordination: Manage the Founder's inbox and calendar, ensuring all meetings, appointments, and reminders are seamlessly organised.
  • Financial Administration: Coordinate monthly invoicing by gathering necessary data from project managers, issuing invoices, and following up on outstanding payments.
  • Document Management: Maintain and curate the digital filing system (Google Drive), ensuring all documents are easily accessible and logically structured.
  • Content Support: Draft and prepare professional proposals, presentations, and general administrative documentation.
  • Workflow Tracking: Monitor deadlines, action lists, and renewals to ensure no critical tasks or commitments are missed.
  • Personal Assistance: Provide light PA support, including managing personal appointments, coordinating school related communications, and handling various errands.
  • Operational Alignment: Facilitate weekly check ins to review priorities and maintain momentum across all business activities.
Requirements
  • Proven track record in office administration, executive support, or personal assistance.
  • Must be based in Cape Town to facilitate occasional in person meetings.
  • Highly confident in using Google Workspace (Docs, Sheets, Drive, Gmail) and various digital productivity tools.
  • Exceptional written and verbal communication skills with a professional and warm demeanour.
  • A proactive self starter who can work independently and maintain high attention to detail under minimal supervision.
Preferred Qualifications
  • Previous experience supporting a Founder, independent consultant, or small business owner is highly advantageous.
  • Familiarity with managing a freelance or contractor style engagement.
Required Software Skills
  • Google Workspace (Advanced)
  • Digital Task Management tools
  • Basic Invoicing/Accounting software exposure
  • Primarily remote setup with minimal travel for meetings.
