Operations & Scheduling Coordinator (UK-Based Business - Remote SA)
Job Description
We are looking for a highly organized, proactive, and confident Operations & Scheduling Coordinator to support the day-to-day running of a busy, UK-based service-led business. This role is a 100% remote position specifically for talent based in South Africa who can support our UK operations during standard UK business hours.
You will play a key role in ensuring jobs are scheduled effectively, client communication is handled professionally, and operational administration runs smoothly. This is an ideal role for someone who thrives in a fast-paced environment and enjoys being at the center of a busy operation.
Key Responsibilities- Scheduling & Coordination: Efficiently manage and schedule jobs across the diary for UK-based engineers and trades staff.
- Client Support: Act as the first point of contact for incoming calls and emails, providing a professional and responsive experience for our UK clients.
- Administration: Manage general admin tasks and keep all records, systems, and job information up to date.
- Payments: Support with payment reconciliation and tracking outstanding balances.
- Operational Support: Help improve internal processes and assist in handling day-to-day operational challenges or conflict resolution.
- Experience: Previous experience in administration, scheduling, operations, or customer service.
- Communication: Strong written and verbal communication skills with the confidence to deal with people over the phone.
- Problem Solving: A proactive "out-the-box" thinker who is calm under pressure.
- Tech Literacy: Comfortable using technology and various business systems independently.
- Reliability: Highly organized with strong time management skills and a detail-oriented approach.
- Nice to Have: Experience in trades, maintenance, construction, or field-based service businesses.
Remote Work: Fully remote position based in South Africa.
