Job Description
Reception & Administration 
- Manage incoming calls and correspondence
- Provide general administrative support to the business
- Process orders (local, export, bulk, and restaurant clients)
- Maintain accurate daily sales records
- Prepare monthly sales reports and reconcile stock
- Compile and manage export documentation
- Track all stock movements from the cellar
- Conduct monthly stock takes and reconciliations
- Coordinate logistics to warehouses and distribution points
- Generate invoices, delivery notes, and statements
- Allocate payments and maintain debtor records
- Manage monthly commission calculations
- Ensure accurate filing and document control
- Prepare and submit SAWIS documentation
- Complete customs and excise forms (e.g., DA 260)
- Support annual stock audits and certification processes
- Prepare supplier invoices and payment schedules
- Allocate payments and maintain accurate records
- Submit required reports to Head Office monthly
- Provide backup support to PRO function when required
- Maintain compliance with health & safety standards (SHE Rep duties)
- Proven experience in administration, sales coordination, or logistics
- Experience in stock control and invoicing systems (e.g., Spacebiz or similar ERP)
- Strong understanding of debtors and creditors processes
- Exposure to export documentation and customs processes (highly advantageous)
- High attention to detail and strong organisational skills
- Ability to work independently and meet deadlines
