Job Description

Ensure accurate segregation of duties. Ensure compliance to Company Policy and Procedure. Manage compliance to prevent repeat audit findings. Enforce a billing audit process. Ensure timeous monthly sign off on dummy payslips. Ensure the clinic has an updated register for all contracts (staff, doctors, suppliers, etc.) Uphold compliance to contractual obligations. Ensure daily back up of server. Ensure all staff understand the password protection policy. Register of all staff with access to software and relevant authorisation levels. Ensure correct system access is requested for new staff members. On termination of employment, follow up with revoking of access for the employee. Compliance to Occupational Health and Safety. Address queries, escalations and complaints within the defined SLA. Ensure appropriate follow up and resolution for all customer complaints. Maintain a customer friendly environment. Ensure all staff are trained on dealing with customers or patients. Be a model of excellent customer service, ensuring that all customers experience an excellent and satisfactory interaction at all times. Implementation of QMS within your clinic environment. Ensure full compliance to the statutory requirements, policies, procedures and professional standards pertaining to the different disciplines. Complete monthly CSA (Control Self Assessments) and action Non-conformance reports accordingly within the stipulated timelines. Conduct quarterly Management review meetings with an Agenda and Minutes post meeting. Ensure the accurate logging of IMS on system. Create and maintain a positive structured working environment where the differences of others are recognised, understood and valued so that all can reach their full potential and maximize their contributions to the organisation. Monthly meetings with all relevant staff to discuss operational and clinic challenges and provide feedback. Manage and control absenteeism and ensuring records are kept up to date. Approve timecards timeously on Kronos. Manage leave applications timeously. Ensure compliance to the relevant Policies and Procedures. Ensure effective communication within the clinic environment. Maintain retention of staff. Manage all disciplinary actions. Timeous and accurate submissions of all HR related forms. Arrange weekly meetings for clinic management staff. Identify training needs of staff and arrange appropriate training if needed. Arrange Induction program for all new employees. Execute the relevant micro - orientation program at clinic level for the new employee. Maintain attendance registers for all staff. Monitoring and measurement of deliverables for all staff e.g. meeting of deadlines, improvement of debtor book, etc. Provide timeous guidance and feedback to direct reports to support strengthen skill areas and leverage on potential. Ensure compliance to appropriate clinic staff ratio/skill mix. Ensure business continuity prevails should staff be on leave. Overall supervisory role on the daily operations of the clinic. Adopt an open door policy for staff and doctor engagement. Be visible to your staff, practitioners and patients. Participate in the panel interviews as part of the formal recruitment process. Manage the performance and delivery of all direct reports. Follow Company policies and procedures. Motivate your team to deliver optimally on responsibilities. Identify self- development needs in terms of job requirements and career progression and bring these to the attention of the immediate manager. Formulate action steps to close the gap between the ideal and actual state of competence. Pursue self - development in one or both of the following areas: Formal Studies Informal / self - studies Share knowledge with relevant team members. Follow agreed upon (authorised) action steps until desired competence is achieved. Be punctual and behave appropriately to the business environment. Minimum of 8 years' experience in Managerial role in healthcare, leading and managing large teams. Experience working in a business orientated and customer focused environment. Demonstrate high standards of achievements and the ability to work across multidisciplinary. Experience in budget development, management and tight cost control. Experience in the healthcare / medical aid industry. Good understanding of the healthcare industry. Computer literate - MS Word, Excel, MS Team, Outlook, etc. Proficient understanding on relevant legislation. Attention to detail, accuracy and exceptional organising skills are essential. Excellent verbal and written communication skills. Professional flexibility in working hours while supporting daily business operations. Will interact with internal and external customers through several different means. Travel to support the functions of the role may be required.
