About the Position

You will be responsible for providing effective committee management support to various committees and stakeholders at the institute. You will be expected to ensure compliance with regulatory requirements, internal policies, and industry standards and support the Governance and Compliance Department on various tasks. You will collaborate closely with various departments to ensure that they align with the department's requirements. Success in this role entails maintaining accurate records, facilitating communication between stakeholders, and independently managing administrative tasks to ensure smooth operation.

Responsibilities Governance
  • Prepare and issue notices of meetings
  • Prepares the agenda and supporting documentation for meetings.
  • Ensure packs for meetings are prepared and distributed timely to enable informed decision making
  • Record minutes and ensure effective administration of meetings. Drafting minutes and distributing them to attendees.
  • Update database with updated records of relevant personal details of all committee members
  • Internal and external liaison with committee members
  • Draft documents as required by the Committees
  • Appointment of committee members
Administration Support and coordination of the following significant projects
  • IRMSA Awards
  • Annual General Meeting
  • Administration of IRMSA Complaints from internal staff and External stakeholders
  • Assist the Governance and Compliance Department with research
  • Assist with staff meetings
  • Assist with monthly reports
Compliance
  • Assist the Corporate Service Manager with Legal Compliance
  • Prepare comprehensive reports and presentations for internal and external stakeholders, summarising legal, compliance and governance.
  • Stakeholder Engagement (Reporting and Communication)
  • Assistance with internal audits in identifying, assessing and mitigating risks within the organisation, contributing to effective governance by ensuring that policies, procedures and controls are in place and implementing ongoing assessments and monitoring of processes.
Assist with Projects

Assist with special projects and tasks as assigned by management.

Collaborate with team members to achieve departmental goals.

Ad Hoc Duties

In addition to the primary responsibilities, thefront office coordinator may be called upon to perform various ad hoc duties to support the office and organization's needs.

Requirements
  • At least three years of relevant experience in an administration role within a Governance and/or Compliance Department
  • Minimum qualification in business administration or related field.
  • Previous experience in a corporate legal or compliance role, with a strong emphasis on administrative support.
  • Understanding compliance principles and practices, with the ability to lead in developing and implementing compliance programmes.
  • Research Skills proficiency in conducting legal and regulatory research, analysing complex information
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook)
