Job Description

This is a position within Keller Executive Search and not with one of its clients.

This fully remote senior role provides dedicated executive support to the Managing Director of an international executive search firm, with a focus on organisation, prioritisation, and operational follow-through across a fast-paced and demanding schedule. Given the global nature of the business, availability across time zones is an important aspect of the role and a degree of schedule flexibility, including occasional evenings, is required.

Key Responsibilities
  • Manage the MD's calendar, schedule and daily priorities to ensure time and attention are directed effectively
  • Track commitments, decisions and action items to ensure consistent follow-through
  • Prepare agendas, briefing documents and meeting notes with clear action tracking
  • Manage correspondence and stakeholder communication on behalf of the MD with discretion and professionalism
  • Plan, coordinate and run meetings on behalf of the MD, including preparation, facilitation and post-meeting follow-through
  • Coordinate research initiatives and team projects, ensuring clarity of brief, progress tracking and timely delivery
  • Delegate and direct tasks across internal teams on the MD's behalf, ensuring accountability and follow-through
  • Liaise with and oversee relevant team members to keep cross-functional workstreams aligned and on track
  • Coordinate with internal teams and external stakeholders across multiple time zones to support the MD's engagements and obligations
  • Maintain confidential records, contracts and documentation across shared systems
  • Anticipate requirements and proactively resolve issues before they
Qualifications
  • Substantial experience supporting at MD or C-suite level, ideally within professional services, consulting or executive search
  • Demonstrated ability to manage complex, high-variability schedules and competing priorities
  • Experience coordinating teams, projects and research workstreams in a senior support capacity
  • Confident chairing or facilitating meetings and driving outcomes
  • Strong written and verbal communication skills to a professional services standard
  • Highly organised with reliable follow-through and strong attention to detail
  • Sound independent judgement in prioritisation and escalation
  • Absolute discretion with confidential information
  • Comfortable working across international time zones with flexibility around schedule when required
  • Self-directed and effective working remotely
  • Proficient with business productivity tools and able to adapt to new systems quickly
