About the Role

We are seeking a detail-oriented and proactive Virtual Assistant (VA) to support high-volume driver verification operations for a trucking organization. This role is critical to ensuring timely completion of employment, safety, and compliance verifications for commercial drivers. The ideal candidate is highly organized, persistent in follow-up, comfortable communicating with external contacts, and capable of managing sensitive data with strict confidentiality.

Key Responsibilities Driver Employment & Safety Verification
  • Research prior employers and relevant contacts using online tools and databases
  • Initiate verification requests via email, electronic fax, or other approved channels
  • Conduct outbound calls to confirm contact information and submission details
  • Follow up consistently until completed verifications are received
  • Track progress across multiple requests per driver application
  • Maintain documentation and status updates in internal systems
Process Coordination
  • Manage verifications covering the past three years of employment history
  • Obtain drug and alcohol, safety, and accident history reports from previous employers
  • Handle high-volume workloads where a single application may involve multiple employers (often up to 10)
  • Ensure completion within internal turnaround targets
Data Security & Compliance
  • Handle confidential personal information (e.g., SSN, driver's license data) with strict adherence to security protocols
  • Comply with all confidentiality agreements and data protection policies
  • Utilize secure systems for document transmission and storage
Required Skills & Qualifications
  • Strong computer proficiency and ability to learn new systems quickly
  • Excellent internet research skills (e.g., locating company contacts and verification channels)
  • Clear and professional verbal and written communication skills
  • Confidence making outbound calls and speaking with business representatives
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple tasks simultaneously and meet deadlines
  • Persistent follow-up mindset with strong task ownership
  • Reliable internet connection and quiet workspace
Preferred Qualifications
  • Experience working for a trucking company, transportation firm, or truck driver recruitment agency
  • Background in driver recruiting, onboarding, safety/compliance, or DOT-related administrative support
  • Experience with employment verification for commercial drivers
  • Familiarity with industry-standard forms and processes for driver history checks
  • Experience in high-volume recruiting or onboarding environments
  • Familiarity with electronic fax platforms and document management tools
  • Experience handling sensitive or regulated data

Compensation & Benefits

$1,100 - $1,800 a month

Full-Time (40 hours/week), Central Standard Time (CST)
