DC Admin Clerk - Midrand
Job Description
Dis-Chem Pharmacies' Distribution in Midrand is hiring an Admin Clerk to perform administrative duties in the Distribution Centre in accordance with industry and Dis-Chem standards. The role ensures both legal compliance and customer satisfaction.
Minimum Requirements- Grade 12 / Matric
- 1 2 years' admin experience
- Basic knowledge of SAP (advantage)
- Basic knowledge of Kronos
- Basic knowledge of Human Resources
- Accurately process all warehouse and sales order credit requests.
- Resolve credit related requests and finalize them continuously.
- Review and maintain follow up system with stores, departments and warehouses.
- Ensure effective communication channels between stores, warehouses and related departments.
- Process all returns within required procedures.
- Investigate and resolve delivery queries, assisting Finance with finalisation.
- Review all warehouse credits, including approval and decline.
- Maintain integrity of captured credit data.
- Accurately maintain all administrative records.
- Keep necessary statistics and records for management reporting.
- Process outsourced company timesheets and distribute pay sheets following SOPs.
- Place weekly stationary orders for Pharmaceutical and/or Cosmetic Departments.
- Place expense orders per management instructions.
- Submit invoices for payment upon delivery, following SOPs.
- Perform general administrative duties as required by the department and management.
- Enter leave forms into Kronos for permanent and outsourced staff.
- Provide clerical support when the Admin Manager is on leave, within authorised authority.
- Verify all Goods Receiving Documents: MIRA invoices, claims for shortages/damages, and Red/Green lights.
- Match goods received details to supplier invoices and delivery notes.
- Refer all errors to the Department Manager and capture credit/invoice data as required.
- Check supplier invoices for total accuracy and verify goods received for all relevant invoices.
- Create and capture purchase orders on SAP for all Distribution Centre sources.
- Ensure SL02 returns and ME2L open return orders balance with each other and physical goods.
- Process all goods issues in compliance with SOPs.
- Accurately capture supplier and distribution orders.
- Make adjustments 701, 702, 551, negative counts, and cycle counts.
- Prepare goods for return to suppliers as prescribed.
- Process returns to suppliers following SOPs.
- Follow up with suppliers to minimise return balances.
- Respond promptly to store queries regarding distribution discrepancies.
- Coordinate with stakeholders and internal departments to resolve queries efficiently.
- Follow up with suppliers on delivery deadlines and provide accurate feedback.
- Build and maintain effective internal and external customer relationships.
- Maintain housekeeping according to Dis-Chem standards and keep the workstation tidy.
- Adhere to Dis-Chem Policies, SOPs, Health and Safety rules, Uniform policy, and Disciplinary and Counselling procedures.
