SummaryThe Asset Coordinator will assist the IT Asset team, ensuring efficient tracking, procurement, and control of IT assets within the organization. This role will include responsibility for stock management, procurement processes, ensuring that IT assets are tagged, and managing purchase orders. The Asset coordinator will also work closely with other departments to ensure timely processing of asset-related requests and tickets while leading a team to achieve departmental goals.
Responsibilities- Asset Tagging & Management: Oversee the tagging and accurate tracking of all IT assets, ensuring that asset information is consistently up to date.
- Stock Ordering & Control: Manage stock levels of IT equipment, ensuring orders are placed in a timely manner, and stock levels meet organizational needs without over-ordering.
- Procurement: Lead the procurement of IT equipment and other relevant assets, ensuring that purchasing is done according to company policies and budget constraints.
- Price Comparisons & Vendor Management: Regularly perform price comparisons and liaise with multiple vendors to secure the best possible deals for IT equipment and services.
- Purchase Orders & Budgeting: Raise and manage purchase orders, working with the finance department to ensure proper budget allocation and spending within limits.
- Stock Requests & Distribution: Process stock requests from internal users, ensuring timely distribution of IT assets as needed across departments.
- User Updates: Communicate with users about their stock requests and any asset-related updates or issues in a timely and professional manner.
- Ticket Management: Monitor and ensure the efficient processing of all logged tickets related to IT assets and procurement, resolving or escalating issues as necessary.
- Authorization & Approval: Authorize purchase orders and stock replenishment requests within approved budgets, escalating high-value or non-standard purchases as needed.
- Monthly Reporting: Prepare and present monthly reports on IT asset management, stock levels, procurement, and budget performance to senior management.
- Team Management: Lead, coach, and develop a team of IT asset staff, setting clear goals and monitoring performance to ensure efficient operations. Conduct regular team meetings and one-on-one sessions to ensure alignment and address any concerns.

- Diploma or Degree in Business Management
- Minimum of 3 years of experience in IT asset management or procurement, with at least 2 years in a supervisory or team leadership role.
- Experience with asset tagging, procurement processes, and vendor negotiations.
- Familiarity with IT service management (ITSM) platforms for ticket logging and tracking.
- Knowledge of financial processes related to procurement, including purchase orders and budgeting
