The successful candidate will be based at the Centre for Health and Human Performance (CHHP) and will be responsible for managing the day-to-day administrative functions of the practice.

Purpose of the Role

The main purpose of this role is to manage all administrative and related responsibilities within the practice. You will play a key role in ensuring smooth operations, efficient communication, and excellent service delivery to clients and staff.

Key Responsibilities General Office Administration
  • Handle reception duties such as answering calls, booking appointments, and assisting clients
  • Manage emails and electronic communication
  • Schedule and coordinate diaries and appointments
  • Maintain online files, including scanning and document management
  • Prepare meeting agendas and take minutes
  • Assist with Care2Kids projects, including materials preparation and reminders
Social Media and Marketing Support
  • Design promotional materials for webinars, workshops, and events
  • Assist with posting content on social media platforms
  • Create forms and assist with participant registrations
  • Develop basic video content for projects and events
  • Respond to comments and enquiries on social media
  • Help organise logistics for webinars, meetings, and workshops
Qualifications

To qualify for this role, applicants must meet the following requirements:

  • At least 2 years' experience working in a medical practice
Additional Advantages
  • Training in office administration, secretarial work, or reception (NQF Level 4)
  • Experience using ZOHO e-file management system (at least 1 year)
Key Skills and Competencies
  • Good communication skills and bilingual ability (English plus another SA language)
  • Excellent organisational and time management skills
  • Ability to manage records, schedules, and data accurately
  • Knowledge of medical practice administration
