The Volunteer Coordinator is responsible for managing the end-to-end volunteer experience, ensuring volunteers are well supported, engaged, and aligned with programme objectives. This role plays a key part in coordinating logistics, communication, and on-the-ground support to ensure smooth programme delivery over the contract period.
Key Responsibilities
- Act as the primary point of contact for volunteers before, during, and after placement
- Coordinate volunteer arrivals, orientations, and inductions
- Ensure volunteers are briefed on expectations, schedules, policies, and procedures
- Provide ongoing support, guidance, and issue resolution throughout placements
- Liaise with programme staff to align volunteer activities with operational needs
- Maintain accurate volunteer schedules, attendance records, and reporting
- Support day-to-day programme logistics where required
- Communication & Engagement
- Maintain clear, professional, and timely communication with volunteers
- Foster a positive and inclusive volunteer environment
- Handle feedback, concerns, and conflict resolution sensitively and professionally
- Administration & Compliance
- Maintain volunteer records and documentation
- Ensure compliance with relevant policies, safeguarding standards, and health & safety requirements
- Assist with reporting and handover at the end of the contract period
- Previous experience coordinating volunteers, participants, or people-focused programmes
- Strong organisational and time-management skills
- Excellent interpersonal and communication skills
- Ability to work independently and manage multiple priorities
- High level of professionalism, empathy, and cultural awareness
- Experience in NGO, conservation, education, or community-based programmes
- Familiarity with international volunteers or cross-cultural environments
- Administrative or programme coordination experience
