The Volunteer Coordinator is responsible for managing the end-to-end volunteer experience, ensuring volunteers are well supported, engaged, and aligned with programme objectives. This role plays a key part in coordinating logistics, communication, and on-the-ground support to ensure smooth programme delivery over the contract period.

Key Responsibilities

  • Act as the primary point of contact for volunteers before, during, and after placement
  • Coordinate volunteer arrivals, orientations, and inductions
  • Ensure volunteers are briefed on expectations, schedules, policies, and procedures
  • Provide ongoing support, guidance, and issue resolution throughout placements
  • Liaise with programme staff to align volunteer activities with operational needs
  • Maintain accurate volunteer schedules, attendance records, and reporting
  • Support day-to-day programme logistics where required
  • Communication & Engagement
  • Maintain clear, professional, and timely communication with volunteers
  • Foster a positive and inclusive volunteer environment
  • Handle feedback, concerns, and conflict resolution sensitively and professionally
  • Administration & Compliance
  • Maintain volunteer records and documentation
  • Ensure compliance with relevant policies, safeguarding standards, and health & safety requirements
  • Assist with reporting and handover at the end of the contract period
Requirements
  • Previous experience coordinating volunteers, participants, or people-focused programmes
  • Strong organisational and time-management skills
  • Excellent interpersonal and communication skills
  • Ability to work independently and manage multiple priorities
  • High level of professionalism, empathy, and cultural awareness
  • Experience in NGO, conservation, education, or community-based programmes
  • Familiarity with international volunteers or cross-cultural environments
  • Administrative or programme coordination experience
