To provide essential support to the sales department,ensuring efficient operations, sales processes and accurate data management, the Sales Coordinator will play a critical role in maintaining accuraterecords, coordinating reporting, and supporting the sales team in achievingtheir goals.

Key Performance Outputs

  • Support Account Managers with processing opportunities and sales orders in the system
  • Monitor order fulfilment status, resolving open sales issues proactively
  • Collaborate with Sales Managers, Directors, and Logistics/Operations to ensure timely delivery
  • Create accurate sales orders using vessel split and opportunity data
  • Manage re-allocations, amendments, and new sales orders as required
  • Ensure sales timelines are met for pricing, opportunities, orders, and RAs
  • Facilitate on-time fulfilment to enable accurate invoicing by Finance
  • Maintain accurate financial records for sales transactions
  • Generate and process Return Authorisations (RAs)
  • Coordinate with Finance on credits, claims, and credit insurance approvals
  • Prepare claim import sheets following sales approval
  • Update Netsuite with approved credit insurance information
  • Coordinate Terms & Conditions signing and ensure compliance documentation is complete
  • Set up new customers accurately in the system
  • Maintain and improve CRM data quality, identifying and resolving data gaps
  • Capture, organize, and maintain sales leads from tradeshows, emails, and other sources
  • Manage client data and distribution lists for sales communications and newsletters
Sales Support & Process Improvement
  • Handle day-to-day customer queries when Account Managers are unavailable
  • Collaborate with team members to streamline sales processes
  • Participate in IFS audits as a sales team representative
  • Support the annual review and update of Sales SOPs
  • Assist with post-season and in-season customer and grower reviews/reports
  • Coordinate Market Feedback and Field Feedback reports to growers
  • Support Territory Directors with real-time sales data and reporting insights
Requirements Minimum Qualifications & Experience
  • Diploma or suitable tertiary qualification in Sales, Marketing, Logistics, or a related field
  • 2-4 years' experience in a sales support, sales coordination, or similar role
What You Bring:
  • Previous experience in sales support, sales operations, customer administration, or a similar role
  • Strong attention to detail and ability to manage multiple priorities and deadlines
  • Confidence working with CRM and ERP systems (experience with Netsuite is an advantage)
  • Solid understanding of sales order processing, invoicing, and credit processes
  • Excellent communication and stakeholder management skills
  • A proactive, solutions-focused mindset with a willingness to support the wider team
  • Strong organisational and data management skills
  • Intermediate to advanced Excel and reporting skills
