MUST have strong MS Excel skills and able to work with Vlookup
Position OverviewThe Sales Administrator plays a vital role in supporting the Sales team by managing administrative processes related to customer accounts, pricing, and documentation. This position requires exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The role provides comprehensive support to Key Account Managers and the Sales Director, ensuring efficient sales operations and customer satisfaction.
Key Responsibilities Deal Sheets & Pricing Management- Create, review, revise, and approve deal sheets.
- Maintain registers and archive historical deal documents.
- Generate customer copies of quarterly and launch deals.
- Compile, maintain, and update price lists and picture price lists.
- Update pricing on SAP for retail and e-commerce customers.
- Implements price adjustments, increases, and changes.
- Add forecasts to price lists and ensure pricing accuracy.
- Create price offers from costing sheets and update Cost-to-Serve documents.
- Support Key Account Managers with SAP pricing and deal sheet management.
- Track orders and generate outstanding order reports for clients.
- Process requests for delivery extensions, order adjustments, packaging changes, and price updates.
- Follow up on missed orders and support resolution of delivery issues.
- Provide customers with product information including Fab sheets, high-resolution images, dimensions, and permits (LOA, LPGSA).
- Communicate deals, pricing, and updates to sales representatives.
- Manage product listings for retail and e-commerce customers (ATOFs/Online).
- Upload prices to customer portals (Pick n Pay, TAL, YuppieChef, TWK, Agrinet).
- Resolve product listing issues and complete missing attributes on platforms such as Takealot.
- Collaborate with internal teams (Art Department, Receiving, National Sales Manager) to obtain images, Fab sheets, dimensions, and pricing for new products.
- Develop catalogues and assist with image compression/formatting.
- Prepare sales analysis reports, stock on hand (SOH), and stock on order (SOO).
- Work with fill rate reports and business intelligence related to advertising and customer catalogues.
- Compare customer price files with internal records to ensure accuracy.
- Organize and store all pricing and deal documents, maintaining internal and KAM folders.
- Prepare materials for meetings (printing, binding, samples).
- Arrange stock for trade shows and assist with stock takes.
- Coordinate with Value Logistics for proof of deliveries (PODs) and rejection notices.
- Support delivery bookings and other ad hoc administrative tasks as required.
- Proven experience in sales administration, pricing, or related roles.
- Proficiency in SAP and MS Office Suite.
- Strong organizational skills and attention to detail.
- Excellent communication skills with the ability to liaise effectively with internal teams and customers.
- Ability to manage multiple priorities and work under pressure.
- Experience working with retail and e-commerce platforms (e.g., Takealot, Pick n Pay portals).
- Analytical mindset with the ability to interpret sales and pricing data.
- Strong problem-solving skills and proactive approach to resolving customer issues.
