Job Description

  • To design, quote and book various inbound and outbound journeys for the Sport and Events division for B2B and B2C markets - especially focused on SA RUGBY TRAVEL
  • To pro actively assist in Product Development and ensure current product is updated, costed and relevant to client demand.
  • To exceed customer expectations, meet operational deadlines and achieve set sales targets.
Responsibilities

SKILLS AND OPERATIONAL EXPERIENCE:

  • Assess client/agent needs in terms of special interests, special needs, and affordability/budget.
  • Quoting of all services requested by clients/agents within the agreed turnaround time.
  • Managing your turnaround times as per agreed Policies or client specifications.
  • Checking rates before quoting as dynamic rates may apply.
  • Reservations of all services requested by clients/agents.
  • Acknowledge receipt of written requests received from agents.
  • Respond to written requests and provide written confirmations.
  • Opening of client files according to TDM standards.
  • Tourplan knowledge and execution (e.g. Loading of tourplan files and balancing).
  • WETU - Basic understanding to enable straight forward amendments.
  • Managing all aspects of Flight bookings with airlines whether through Amadeus (if qualified in Amadeus), direct with airlines or through other suppliers.
  • Ensure confirmation of services with suppliers.
  • Stay in constant communication with clients/agents with regards to status of reservations, payment requirements, deadlines, and conditions of reservations.
  • Producing accurate Quotation Sheets / Costings as required to package product.
  • Documentation Management of all Reservations: Itinerary planning and layout, Ensure Travel packs are compiled (digital or other), Vouchers, Rooming lists, Filing
  • Handling and escalating client complaints
  • Manage MOD phone and queries as required

CLIENT CARE:

  • Maintain contact with client during period of travel
  • Manage client complaints and emergencies
  • Maintain contact with travel trade
  • Obtain feedback from clients / travel trade following client departure
  • Handling of complaints professionally
  • Problem Solving
  • Continually exceed the customer expectation

PAYMENTS AND ACCOUNT QUERIES:

  • Ensure that clients invoiced for all services and invoices provided to clients timeously.
  • Manage payments and Account queries
  • Follow up on payments
  • Liaise with Finance department with regards to queriesEnsure payment conditions are strictly adhered to
  • Keep Operations Manager informed of possible problems
  • Arrange pre-payments

FINANCIAL:

  • Invoicing accurately from Tourplan - Ensure the loading of files are accurate (to mirror costing sheets) from opening of files.
  • Reconciling of Files - Balancing of Tourplan files timeously (Final balance by month end in month of travel).
  • Explanation of variances
  • Margin Management (high & low)
Qualifications and Expertise
  • Matric
  • MUST be senior and must have worked with Rugby groups before

The salary for this position is competitive and dependent on relevant experience.
