Job Description
A Hotel Reservations Manager oversees the entire reservations process, ensuring efficient and accurate booking management, excellent guest service, and revenue optimization. This includes handling inquiries, managing bookings, confirming reservations, and resolving any issues or discrepancies. They also play a crucial role in training staff, implementing policies, and collaborating with other departments to ensure smooth operations.
Key Responsibilities: Reservation Management:- Overseeing all aspects of the reservation process, including handling inquiries, managing bookings, confirming reservations, taking deposits, processing virtual cards and resolving issues or discrepancies. This position encompasses all types of bookings from group to ad hoc, conferencing and where applicable restaurant.
- The reservations manager must be knowledgeable in hotel and room facilities/services and ensure reception is equally knowledgeable.
- Is responsible for checking Daily cash up
- Monitoring telephone manner and general performance of reception
- Ensure special handling of repeats guest and VIP guests
- Monitors and coordinates group reservations including where necessary check in and out
- Follows up tentative bookings and update reservation status
- Reviews no-show and cancelled reservations and processes charges according to hotel's policy
- Review room blocking for Long Stay. Suites and special group request
- Supervising of Group Reservations
- Maintain cordial relations with commercial clients
- Responsible for work schedule of reception and housekeeping
- Checking on housekeeping
- Ordering for the rooms and housekeeping
- Responsible for maintaining a Neat and Orderly position at all times.
Recruiting, training, and supervising reception staff, delegating tasks, and reviewing schedules.
Policy Implementation:Developing and implementing reservation policies and procedures, ensuring compliance with hotel standards.
Revenue Optimization:Working with revenue management strategies, potentially adjusting rates and promotions, and maximizing occupancy.
Guest Service:Ensuring a positive and efficient experience for guests throughout the booking process, including responding to inquiries and resolving any concerns.
Collaboration:- Advising reception of check ins and outs
- Advising house keeping of check ins and outsAtt
- ending to room checks
- Working closely with other hotel departments (e.g. housekeeping, front office, sales, revenue management) to coordinate bookings, special requests, and overall guest experience.
Preparing reports on reservation statistics, analyzing trends, and identifying areas for improvement.
System Management:Maintaining and utilizing reservation systems effectively, potentially including online booking platforms and property management systems.
Communication:- Liaising with sales and marketing regarding new promotions and how to manage bookings
- Responsible for recording Operator, corporate and guest contact details and rates both in system and correspondence file
- Liaise with sales and marketing in regards to occupancy and rates
- Identify Top Producing accounts.
Assisting in forecasting revenue streams and planning for upcoming events and peak seasons.
Skills and Qualifications:- Strong communication and interpersonal skills: Essential for interacting with guests, staff, and other departments.
- Excellent organizational and time management skills: Needed to manage a high volume of bookings and tasks effectively.
- Proficiency in reservation systems and software: Experience with property management systems and online booking platforms is often required.
- Leadership and supervisory experience: Necessary for managing and motivating a team.
- Knowledge of revenue management principles: Beneficial for optimizing pricing and occupancy.
- Problem-solving and conflict-resolution skills: Crucial for handling guest issues and ensuring smooth operations.
- Attention to detail: Ensuring accuracy in bookings and data management is vital.
- Fluency in relevant languages English and Afrikaans.
Minimum 3 years experience as Reservation with experience on Semper or similar POS
