A signage and shopfitting manufacturing company based in Kya Sands is seeking a Receiving & Dispatch Supervisor to control all incoming and outgoing materials within the factory environment. Reporting to the Factory Manager and supervising two receiving/stores assistants, the role ensures that all materials received match purchase orders, documentation is accurate and properly filed, materials are allocated to the correct production departments, and all dispatches to site are complete, checked, and signed off. The position also oversees internal tool and storeroom control to support efficient production operations and maintain strong process compliance across the factory.
Minimum Requirements- 3-5 years' experience in a warehouse, dispatch, or receiving role
- Experience in manufacturing, construction, signage, or a similar industry
- Strong attention to detail and ability to manage documentation accurately
- Basic computer literacy (Excel and email)
- Leadership experience supervising staff
- Experience with inventory or stock management systems (advantageous)
- Forklift license (advantageous)
- Understanding of procurement processes and stock control procedures (advantageous)
- Receive and inspect all incoming goods, ensuring items match purchase orders, delivery notes, and tax invoices, while checking quantities, specifications, and condition of goods
- Process receiving documentation by attaching purchase orders, delivery notes, and invoices, stamping as received, capturing records on the receiving register or system, and forwarding documentation to Accounts
- Allocate received materials to the appropriate departments including Carpentry, Spray, Welding, Electrical, and Vinyl, obtaining department sign off for receipt
- Coordinate dispatch to site by working from approved packing lists, physically verifying all items including structures, panels, tools, hardware, vinyl prints, and electrical components
- Ensure trucks are loaded safely, dispatch checklists are completed, and drivers sign off before vehicles leave site
- Check items returned from site, record any damages or missing items, and update storeroom or tool records accordingly
- Manage the internal tool storeroom, including issuing tools against a sign out register, ensuring tools are returned, conducting weekly stock checks, maintaining the asset register, and controlling consumable stock levels
- Supervise two assistants responsible for tool issuing, stock counts, and dispatch preparation
- Maintain operational controls ensuring goods are not received without a purchase order, dispatches do not leave without a checklist, and tools are not issued without proper sign out
- Provide weekly reports to the Factory Manager including goods received summaries, dispatch summaries, tool discrepancies, and stock concerns
