ISTA Personnel Solutions is a fast-growing BPO company acting as a dedicated extension of our U.S.-based healthcare clients' teams, delivering high-quality service with precision, efficiency, and care.

Our client is a U.S.-based healthcare provider specialising in behavioural therapy (ABA). We are currently seeking a detail-oriented Quality Assurance & Clinical Documentation Specialist (with systems support exposure)to join our team.

This role focuses on reviewing clinical session notes for accuracy, completeness, and compliance with insurance requirements, while also supporting users of clinical software.

This role does not involve IT troubleshooting or software development support. It is not a technical IT role. Full training is provided, but candidates must be highly comfortable working with systems and technology.

We are looking for someone who thrives in structured, detail-heavy work where accuracy, compliance, and consistency are critical.

PLEASE NOTE
  • Working Hours: Mon - Fri, 9:00 AM - 6:00 PM EST (3:00 PM - 12:00 AM South African Time). Hours may vary with daylight savings or operational needs.
  • Work Environment: Fully remote position.
  • Public Holidays: You will be required to work on both SA and U.S. public holidays (SA public holiday compensation in accordance with the BCEA).
  • Internet: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and a wired Ethernet connection is mandatory. Applicants without fibre cannot be considered.
  • Power Backup: A reliable power backup solution is required to manage load shedding. Applicants without one cannot be considered.
Key Responsibilities
  • Review session notes for accuracy, completeness, and compliance
  • Ensure documentation meets insurance billing standards
  • Identify errors, missing information, and inconsistencies
  • Provide clear, professional, and constructive feedback to clinicians
  • Track and follow up on corrected documentation
  • Maintain organized records of quality reviews
  • Support users of clinical software (non-IT support)
  • Collaborate with internal and clinical teams
Requirements
  • Highly detail-oriented, precise, and structured in approach
  • Strong quality assurance mindset with a focus on accuracy and compliance
  • Fast learner with a tech-comfortable (not technical) mindset
  • Strong written and verbal English communication skills
  • Professional, pleasant, and approachable demeanour
  • Able to work independently and manage workflow effectively
  • Comfortable using MS Office and Outlook
  • Experience reviewing session notes in any industry is a plus
  • Experience in QA, auditing, compliance, admin review, or documentation control is advantageous
  • ABA experience is beneficial but not required
