Job Description

Position: Project Administrator

Reporting To: Project Manager

Location: South Africa (with potential travel to client sites if required)

Employment Type: Full-Time

Expected Start Date: 1 May 2026

Overview

As a Project Administrator at Infolytics, you will play a key support role in the successful delivery of client projects by ensuring that all administrative, financial, and reporting processes are accurately maintained.

You will work closely with Project Managers, consultants, and internal teams to support project operations, with a strong focus on timesheet management, billing, invoicing, and reporting. Your attention to detail and organisational skills will ensure that project data is reliable, up-to-date, and aligned with Infolytics' standards and methodologies.

Key Responsibilities 1. Project Administration & Support

Provide administrative support across multiple active projects.

Maintain accurate and up-to-date project documentation, trackers, and records.

Assist in scheduling meetings, preparing agendas, and capturing meeting minutes.

Support Project Managers in ensuring project processes are followed consistently.

2. Timesheet & Resource Tracking

Collect, review, and validate team timesheets in line with project requirements.

Ensure accurate allocation of time across projects and tasks.

Follow up with team members to resolve missing or incorrect entries.

Assist with tracking resource utilisation and capacity.

3. Billing & Invoicing

Review and manage project-related invoicing based on approved budgets and timesheets.

Ensure all billable work is accurately captured and invoiced timeously.

Maintain billing schedules and track project financial performance.

Liaise with finance to support invoice processing and payment follow-ups.

4. Reporting & Data Management

Generate and maintain project reports, including status updates, utilisation reports, and financial tracking.

Provide accurate and timely reporting to internal stakeholders.

Identify discrepancies in data and elevate where necessary.

Support the maintenance of dashboards and reporting tools (e.g., Zoho Projects, Zoho Analytics, Excel).

5. Quality Assurance & Process Compliance

Ensure all project documentation aligns with Infolytics' standards and best practices.

Maintain organised and audit-ready project records.

Identify opportunities to improve administrative processes and efficiencies.

Work collaboratively with cross-functional teams including consultants, developers, and project managers.

Support a culture of accountability, accuracy, and continuous improvement.

Requirements 1. Educational Background & Experience

Diploma or degree in Business Administration, Project Management, Finance, or a related field.

3 - 4 years' experience in a project administration, project support, or finance-related role.

Experience in a consulting, SaaS, or project-based environment is advantageous.

2. Technical & System Skills

Proficiency in Microsoft Excel and reporting tools.

Experience with project management systems (e.g., Zoho Projects, ClickUp, ).

Familiarity with invoicing, financial tracking, and timesheet systems.

Experience with Zoho applications is advantageous.
