A growing cosmeceutical business is seeking a highly organised and proactive Procurement and Administration Coordinator to support reception, procurement, inventory, and office coordination functions. Monday - Thursday 8am - 4pm and Friday 8am - 3pm.

This role is suited to a detail-oriented and hands-on individual who enjoys working in a structured environment and contributing to smooth operational processes. The successful candidate will play an integral role in ensuring front office professionalism, stock accuracy, and efficient administrative coordination across departments.

Responsibilities Front Office Management
  • Professionally answer, screen, and transfer incoming calls
  • Manage walk-in visitors, collections, and deliveries
  • Maintain a clean, organised, and welcoming reception area
  • Assist with overflow order processing when required
Procurement & Inventory Support
  • Maintain and update the asset register
  • Process and manage credit applications
  • Maintain accurate stockist and referral lists
  • Update and track product barcodes
  • Manage reorder lists and support stock control processes
  • Assist with warehouse order checks and packing when required
  • Coordinate label, packaging, artwork, and material orders
  • Support inventory management and stock accuracy initiatives
Administrative & Office Coordination
  • Maintain correct business and pricing information
  • Manage pricelist updates and distribution
  • Order and manage office supplies
  • Coordinate office services with designated service providers
  • Update and print office and warehouse signage (including product labels and door signage)
  • Maintain and distribute updated staff contact lists, including the Cape Town team
Requirements
  • Previous experience in a front office, administrative, procurement, or inventory support role
  • Strong organisational skills with excellent attention to detail
  • Confident communication skills, both telephonically and in person
  • Ability to manage multiple responsibilities and meet deadlines
  • Comfortable working in a structured, process-driven environment
  • Proficient in MS Office and general administrative systems
  • Physically able to lift and move light office supplies and materials
  • Willingness to conduct occasional warehouse visits for stock checks
