Job Description
We are looking for a sharp, high-energy Executive Personal Assistant who can handle the "urgency" of C-Level business support. This role is designed for someone who is unfazed by high pressure and possesses a "no-nonsense" professional personality.
You aren't just here to manage a diary; you are here to act as a force multiplier for the Executive. We specifically value candidates with a call center background, as you will need the industry understanding and the same level of agility, thick skin, and ability to handle difficult stakeholders without losing your cool.
Core Responsibilities- Project Planning & Tracking: You will be responsible for turning verbal instructions into structured project plans. You'll track milestones and ensure the Executive is briefed on upcoming bottlenecks.
- Expert Excel Management: This is a core requirement. You must be comfortable with data capturing, and using Excel to track business KPIs or budgets accurately.
- High-Level Minute Taking: You will attend meetings (virtual or in-person) and produce high-quality minutes and action-item lists. You must be able to distinguish "noise" from "key decisions" and have an understanding of the use of AI assistants to help take notes that you will turn in to actions and tasks.
- Diary & Meeting Gatekeeping: Protecting the Executive's time is paramount. You will manage a complex calendar with a focus on efficiency-minimizing downtime and travel friction.
- Resilience & Communication: Acting as the primary point of contact for external queries, often dealing with demanding clients or urgent requests where a strong, assertive personality is required.
- Previous PA/EA Role: Strictly required. You must understand the nuances of supporting a Director or Business Owner.
- Call Centre Experience (Preferred): We value the "battle-tested" resilience of the BPO/Call Centre industry. Being able to pivot quickly and maintain professionalism under fire is essential.
- Excel Mastery: Advanced proficiency (VLOOKUPs, Data Validation, formatting).
- Strong Personality: You must be comfortable saying "no" on behalf of the Executive and managing expectations with stakeholders at all levels. You are an extension of their authority into the business.
- Tech Savvy: Proficiency in Google business suite as well as Teams, and project tools Asana etc.
The "Solutionist": You don't bring problems; you bring three potential solutions and a recommendation.
- Thick-Skinned: You appreciate direct feedback and don't take high-pressure moments personally.
- Organized to a Fault: Your filing systems (digital and physical) are impeccable.
