Permanent - HR Assistant / HR Administrator - Johannesburg (Incl. Northern Suburbs) - South Africa
  • Responsible for providing comprehensive administrative and operational support to the National HR Manager.
  • This role ensures the smooth execution of HR processes across all regions, including HR administration, employee records management, recruitment support, payroll administration assistance, disciplinary process support, and compliance tracking.
  • The role is critical in maintaining accurate HR systems, documentation, and daily operational HR activities to enable effective HR service delivery across the business.
Key Responsibilities and Duties HR Administrative Support
  • Provide full administrative support to the National HR Manager and HR department.
  • Maintain and update employee records, personnel files, and HR databases.
  • Ensure all HR documentation is accurately filed and up to date.
  • Draft HR-related correspondence, contracts, and standard documents.
Recruitment & Onboarding Support
  • Assist with job postings, CV screening, and interview scheduling.
  • Coordinate onboarding processes including induction packs and documentation.
  • Ensure all new employee documentation is completed and correctly filed.
  • Support consistent recruitment administration across all regions.
Payroll & Time Administration Support
  • Assist with monthly payroll preparation and checking of employee data.
  • Capture and maintain leave records, attendance, and timekeeping systems (PRP or similar).
  • Support accurate submission of payroll-related inputs within deadlines.
Employee Records & Compliance Administration
  • Maintain up-to-date employee files in line with company and legal requirements.
  • Assist with audits of personnel files, contracts, and compliance documentation.
  • Ensure all mandatory HR documentation is complete and properly stored.
Disciplinary & HR Process Support
  • Assist with scheduling disciplinary hearings and preparing documentation packs.
  • Maintain accurate records of grievances, warnings, and disciplinary actions.
  • Assist in initiating disciplinary processes under the guidance of the National HR Manager.
  • Provide administrative and procedural support during disciplinary hearings.
  • Chair disciplinary hearings where appropriate, under supervision and delegation from the National HR Manager.
  • Ensure all disciplinary procedures are conducted in line with company policy and labour legislation.
Training & Development Administration
  • Assist with coordination of training sessions and maintaining training records.
  • Support tracking of employee development and skills documentation.
  • Assist in compiling basic training reports when required.
HR Systems & Reporting Support
  • Capture and maintain data in HR systems and spreadsheets.
  • Assist in generating basic HR reports and dashboards.
  • Ensure accuracy and consistency of HR data across systems.
General HR Support
  • Provide day-to-day HR administrative support to stores and regional teams.
  • Assist with HR projects, audits, and operational rollouts. Support communication of HR policies and updates to staff where required.
Required Experience and Qualifications
  • Grade 12 (Matric) - Essential
  • Tertiary qualification in Human Resources or related field - Required
  • 3-4 years' experience in an HR administrative or support role
  • Exposure to disciplinary processes and HR case management - Advantageous
  • Experience in retail, hospitality, or multi-site environments - Beneficial
  • Experience with HR systems (e.g., HR systems and time and attendance or similar) - Beneficial
Skills & Competencies Required
  • Strong administrative and organisational skills.
  • High attention to detail and accuracy.
  • Good understanding of basic HR processes and labour relations.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Ability to handle confidential information with discretion.
  • Strong communication and interpersonal skills.
  • Ability to work under pressure and meet deadlines.
  • Proactive, reliable, and willing to learn.
