Job Description

Logistics Import Responsibilities
  • Assist with import and export administration and coordination of stock shipments from China
  • Track and monitor shipments, containers, and delivery schedules
  • Ensure all shipping and customs documentation is accurate and properly filed
  • Ensure payments are processed within agreeable timeframes
  • Liaise with suppliers, freight forwarders, and clearing agents
  • Maintain records of import costs, duties and landed costs
Export/Cross Border Responsibilities
  • Liaise with customers on purchase orders and quotes
  • Maintain costing templates to produce accurate reconciliation of quote, purchase order, invoice and payment
  • Prepare and manage export documentation (quotes, commercial invoices, packing lists, etc.)
  • Coordinate stock management and distribution planning
  • Coordinate and book transport for cross border deliveries and any inspection certificates required
  • Liaise with clients for payments and transporters on ETA times
  • Track shipments and resolve any delays or issues
  • Maintain accurate documentation and uploads to systems
Local/Distribution Responsibilities
  • Coordinate stock management and distribution planning
  • Book and manage local transport and courier services
  • Schedule and track deliveries to customers
  • Work closely with warehouse to ensure accurate picking and dispatching
  • Monitor delivery performance and resolve delivery issues
  • Maintain accurate records of all documentation and delivery notes
Financial Administration Responsibilities
  • Assist with creditors and debtors administration
  • Debtors invoicing, statements, credit control, credit notes, payment follow up
  • Creditors GRV, recons, payments
  • Reconcile and maintain general ledger entries
  • Cashbook capture and reconciliation
General Administration Responsibilities
  • Perform day to day office administration duties, purchasing office supplies
  • Maintain filing systems and documentation
  • Assist with internal reporting and spreadsheets
  • Support management with administrative tasks
  • Ensure accurate record keeping and data capturing
Qualifications
  • National Senior Certificate (Matric) or equivalent
  • 2-5 years experience in bookkeeping, administration, logistics roles
  • Prior experience in import and export administration
  • Inventory costing, margin analysis, pricing in ZAR and USD
  • Previous experience in administration, logistics
  • Strong numerical and reconciliation skills
  • Good understanding of debtors, creditors, and basic accounting processes
  • Proficient in Microsoft Excel and general computer systems
  • Highly organised with strong attention to detail
  • Ability to work independently and manage deadlines
