About the Role

The People Consultant will provide end-to-end administrative support across the employee lifecycle, ensuring that every HR process is completed accurately, on time, and in line with company standards. From preparing employment contracts to maintaining employee records and handling HR queries, this role ensures that every employee-whether based in SA, the UK, or other future expansion markets-receives consistent, compliant, and high-quality HR service.

This position forms an integral part of the People Services function and directly contributes to Huntswood's operational excellence by delivering reliable, audit-ready, and service-driven HR support.

Key Responsibilities 1. Onboarding Enablement & Coordination

A core focus of this role is ensuring that new employees experience a smooth and professional entry into the business. Responsibilities include:

  • Preparing, issuing, and managing legally compliant employment contracts and onboarding documentation across regions such as South Africa and the United Kingdom.
  • Coordinating onboarding tasks with cross-functional teams such as IT, Facilities, Payroll, Hiring Managers, and HR Business Partners.
  • Managing onboarding timelines to ensure that every new starter receives the right information, tools, and support before their first day.
  • Supporting global expansion by preparing documentation for new markets when required.
2. Employee Data Integrity & Lifecycle Management

Data accuracy is critical in HR, and this role plays a major part in ensuring that all information remains consistent and compliant.

  • Maintaining and updating employee records across HRIS systems such as PaySpace, Dayforce, YouManage, and any other relevant platforms.
  • Executing lifecycle transactions including role changes, promotions, salary adjustments, transfers, secondments, and termination-related updates.
  • Performing routine audits on employee files to ensure accuracy of personal details, remuneration data, job titles, reporting structures, and client allocation information.
  • Ensuring all data processing activities comply with internal SLAs, legal requirements, and audit expectations across regions.
3. Leave Administration & Workforce Transactions

The People Consultant will also support daily administrative tasks related to leave management:

  • Administering employee leave requests and absence records using approved systems.
  • Ensuring all leave requests align with country-specific labour laws and company policies.
  • Managing related queries from employees and resolving escalations professionally and timeously.
4. Service Excellence & Employee Support

This role is vital in ensuring a positive employee experience.

  • Acting as administrative support to HR Business Partners.
  • Managing and resolving HR-related support tickets raised by employees and managers.
  • Issuing official HR documents including letters of employment, confirmations, certificates of service, and other standard documentation.
  • Delivering service with a people-first mindset, reinforcing Huntswood's values in every interaction.
5. Compliance, Record Keeping & Audit Preparation

Given Huntswood's global footprint, compliance is central to this role.

  • Ensuring all HR records are audit-ready and aligned with statutory and internal standards.
  • Preparing and submitting documentation for internal and external audits.
  • Managing version control and secure storage for all HR documents.
  • Generating basic reports to support People Operations and wider operational teams.
6. Process Improvement & Operational Efficiency

  • Supporting the development and maintenance of Standard Operating Procedures (SOPs) to ensure standardised, scalable, and consistent HR service delivery.
  • Assisting the People Services team in enhancing automation and operational effectiveness as the company expands globally.
Minimum Requirements

To be considered for this role, candidates must meet the following requirements:

  • Matric / NQF Level 4 (essential)
  • HR or People-related tertiary qualification (advantageous)
  • Minimum 1 year experience in the BPO environment, understanding the pace, KPIs, and workflow requirements
  • At least 2 years' experience in an administration-focused role, preferably in HR or shared services
  • Proficiency in MS Office, particularly Excel, Word, and PowerPoint
  • Experience working with HR Information Systems (HRIS) is highly advantageous
  • Strong written and verbal communication skills
  • Clear disciplinary and background checks
