Red Ember Recruitment is seeking on behalf of our client to appoint a suitably qualified, experienced individual to join their head office environment as a Payroll Manager. The incumbent will be required to ensure that the monthly payroll function is executed accurately and timeously and also be able to manage staff records and associated HR functions.

  • Maintains the monthly end to end payroll. This will include information gathering, data capture and performing the salary/wages runs together with the electronic distribution of payslips and any subsequent query resolution for approximately 1000 people across multiple legal entities including Zambia.
  • Co ordinating the onboarding of staff including the issuing of employment contracts, credit and criminal checks and creating electronic employee files and ESS profiles.
  • Maintenance of employee records and master files in Sage 300.
  • Co ordinating the termination/movement of staff, termination confirmations, addendums, return of assets and calculation of the termination costs including leave, loans, notice pay, disabilities and funeral claims etc
  • Submission of monthly SARS EM201 Return - UIF, SDL and PAYE.
  • Submission and reconciliation of SARS EMP501 return - IRP5's
  • Processing and monthly reconciliation of staff loans & advances
  • Process and payments of COIDA fees.
  • Process and payment of Pension fund, Medical Aid, PAYE, Union Memberships and other statutory contributions on the stipulated dates.
  • Process and payment of garnishee orders and Maintenance court orders.
  • Provide reconciled monthly payroll reports to the finance team upon payroll finalisation.
  • Updating, processing & administration of annual leave, sick leave & family responsibility leave balances.
  • Weekly balancing of the ERS Biometric timekeeping devices against overtime, shift allowance and leave recons
  • Assistance with the confirmation of employment for staff members as required by external parties.
  • Maintain electronic employee records on the SAGE HR module, Recruitment, terminations, deaths, retirement, promotions/demotions, personnel files, progress reports, disciplinary notices etc
  • Electronic submissions of UIF & issuing UI 19 forms upon termination of an employee
  • Assist with the monthly reporting around Employment Equity
  • Capturing of training records.
  • Updating and maintaining electronic company organograms in Sage
  • Report, process and maintain records for Workman's Compensation, IOD claims, process of Resumption reports and submission of yearly WCA Resumption reports.
  • Participate actively and constructively in meetings where required
  • Calculation of monthly and annual incentives and bonuses
  • Weekly processing of expense claims and the timeous payment thereof.
  • Manage the annual payroll audit ensuring no material findings

Qualifications and Skills

The following are non negotiable:

  • A relevant tertiary qualification in HR/Payroll
  • At least five years experience managing a payroll department of comparable size
  • Very strong Computer literacy, SAGE 300 People, ESS and Excel is a pre requisite.
