Qualifications
  • Grade 12 / N3, NQF Level 4 (Mandatory)
  • National Diploma in Logistic Management. NQF Level 6 (Recommended).
  • Driver's License (Mandatory)
Years of related prior experience
  • 2-3 years administrative experience within an industrial and/or mining environment (Essential)
  • Experience in the shipping/ logistics industry will be an advantage.
Knowledge
  • International trade terms (advantage), SAP SD module (advantage), MS Office (excel & word) and Outlook, Pivot
Personal attributes
  • Good interpersonal and communication skills.
  • Planning and organizing
  • Independence, self-confident, attention to detail, analytical skills, negotiation skills, customer relations, general administration (typing, filing, and interface with internal and external customers)
Job Responsibilities (Outputs) Admin Support
  • Coordinate office administration and control documentation toward supporting departmental goals procedures and processes.
  • Ensure process and procedure related data on document management systems/databases are in accordance with procedural standards.
  • Follow up/ obtain invoices from appointed logistics service providers, review for correctness, reflect relevant purchase order details and recommend for payment.
  • Tracking of Ilmenite shipment discharge and circulation of progress updates.
  • Shipping disbursement administration/ capturing of distribution costs.
  • Call for and follow up on shipping documentation issued by appointed service providers. Collation of shipping documentation and dispatch to Customers/ banks.
  • Dispatching of samples to customers.
  • Updating of shipping statistics and product dispatch information.
  • Ensure coordination, control and effective distribution of documents and information. Create requisitions for non-distribution costs items.
  • Create notification for required maintenance activities.
  • Render various admin and managerial support services to enhance operational effectiveness of Departments.
Quality and Compliance
  • Report and log incidents and customer complaints on pivot and ensure timeous close-out in accordance with company standards.
  • Ensure compliance to applicable processes, procedures and applicable statutory laws and regulations in operation.
  • Quality ensures data, documentation and ensures levels of authorizations are applied within applicable processes.
  • Capture relevant data required for cyclical management information purposes accurately.
  • Ensure the integrity of management information through regular audits. Deviations are reported to supervisors and remedial decisions recorded, coordinated and resolved.
Relationship Management
  • Maintain relationships with applicable internal and external customers to promote department and overall company image.
  • Attend to customer requests and complaints, conduct regular follow-ups to ensure problems have been resolved.
  • Render support to internal Management, Supervisors and applicable functionaries.
Safe and Healthy Work environment
  • Adhere to OHS Act and comply with company specific SHE policies and procedures.
  • Address all unsafe practices by reporting it to the area manager.
  • Promote good housekeeping practices and accept safety responsibility.
