We are a London-based luxury tour company specialising in bespoke private car tours throughout the United Kingdom. Our clients are high-end
international travellers, and our focus is on precision planning, seamless logistics, and exceptional service standards.

Role Overview

We are seeking a highly organised Operations Coordinator to support our Reservations & Operations function. This is a structured administrative role
focused on accuracy, booking execution, and operational preparation once tours are confirmed.

Please note:
  • This is not a sales or itinerary design role.
  • The position is process-driven, detail-focused, and operational in nature.
  • Contract: Temporary (March - September 2026)
  • Extension: Possible, depending on workload
  • Hours: Friday to Monday, 09:00-13:00 UK time
  • Additional hours may be available during peak season (June-September)
  • Fully remote role with structured online training
Key Responsibilities Phase 1 - Core Duties
  • Add confirmed tours to shared calendar templates
  • Record accurate tour details (client name, dates, driver, start time, notes)
  • Purchase attraction tickets via approved suppliers and checklists
  • Verify dates, times, guest numbers and ticket types
  • Upload confirmations and maintain booking records
  • Update itinerary templates and tracking sheets
  • Support structured booking workflows
Future Responsibilities (Once Trained)
  • Draft daily tour timings for review
  • Check opening hours and research drive times
  • Identify logistical conflicts and add buffer times
  • Prepare tour readiness documentation
  • Pre-book standard venues where required
Quality Control Responsibilities

This role requires strong attention to detail. You will verify:

  • Client name spelling and tour dates
  • Start times and locations
  • Driver assignments where applicable
  • Special requests (dietary, mobility, etc.)
  • Ticket details before and after purchase
  • Accurate logging of confirmations
  • Logical timing structure
Workflow stages: Candidate Profile

We are looking for someone who is:

  • Highly organised and detail-oriented
  • Computer literate and confident using shared calendars and documents
  • Fluent with excellent spoken and written English
  • Comfortable following structured checklists and SOPs
  • Reliable during agreed UK working hours
  • Able to work well under pressure
  • Effective both independently and as part of a team
  • Comfortable using initiative, as weekend work will be largely unsupervised
  • Committed to completing the full contract through September 2026

Travel, hospitality, or luxury service experience is beneficial but not essential.

  • Clear workflows and quality control systems
  • All work initially reviewed until consistent accuracy is demonstrated
