Position: Office Manager - Johannesburg (Woodmead)

Department: Customer Service & Returns for a manufacturing company

Reporting To: National Customer Service Manager

Set up: Full time on site.

Salary: Up to R25K CTC Per Month pending experience

Employment type : Permanent

Preference will be given to someone with a short notice period.

Any experience in a manufacturing environment would be great.

SAP systems knowledge or similar would be a great adv.

1. Role Purpose

The Office Manager (Johannesburg) is responsible for overseeing day to day administrative, operational, returns, stock warehouses/values and customer service support functions within the Johannesburg Service Centre. This includes managing service support activities, ensuring proper stock control and fleet management, and maintaining efficient communication and collaboration between Johannesburg and Cape Town operations.

The position is both operational and supervisory in nature, requiring proactive leadership, accurate record keeping, and effective coordination across departments.

2. Key Responsibilities A. Service Support Management
  • Allocate technicians to service calls daily, ensuring calls are logged, completed, and closed promptly.
  • Monitor open service calls to prevent backlogs and follow up on all outstanding cases.
  • Accurately capture and update service information on SAP within required timeframes.
  • Handle escalations professionally, with the goal of reducing recurrence by identifying training needs and reporting them through regular meetings with the Direct Manager, MD, GM, Sales Director, and QC.
  • Oversee replenishment of spare parts and ensure accurate record keeping of stock movement.
  • Compile an end of day report and share with Customer Service Manager before COB daily.
  • Submit a detailed monthly management report summarising departmental performance, issues, and corrective actions.
B. Fleet and Cost Management
  • Plan and manage vehicle routes efficiently to ensure optimal fuel consumption.
  • Oversee driver inspection forms and ensure they are completed, submitted, and filed weekly.
  • Coordinate vehicle maintenance schedules and report any issues timeously.
  • Maintain accurate fuel records and manage slips in line with company policy.
C. Stock and Warehouse Management
  • Manage all stock on the premises, ensuring accuracy, traceability, and compliance with stock movement procedures.
  • Ensure warehouse areas are cleared weekly and organised according to company standards.
  • Oversee and ensure that daily stock transfers to Cape Town occur as scheduled and that documentation is complete and accurate.
  • Support the year end and ad hoc stock takes, ensuring results are captured, reconciled, and reported.
D. Office and Facilities Management
  • Ensure that all utilities (electricity, water, internet) are functional and maintained.
  • Oversee cleaning, maintenance, and upkeep of the office environment.
  • Manage petty cash responsibly, ensuring accurate logs and supporting documents for all transactions.
3. People and Performance Management
  • Manage attendance, punctuality, and leave compliance of the Johannesburg team.
  • Submit daily attendance registers and immediately address late coming or absenteeism through proper HR channels.
  • Conduct return to work discussions after any unplanned absences and document outcomes.
  • Identify and address performance issues early through feedback, documentation, and collaboration with HR.
  • Promote a positive, respectful, and collaborative working environment.
