Job Description

REQUIREMENTS:
- Relevant NQF level 6 qualification in Secretarial/ Public Administration Diploma;
- 3 years relevant experience as Office Administrator in similar position;
- Senior secretarial skills, preferably in a local government environment;
- Proficiency in minute taking and undertaking of independent research;
- Attention to detail and consistently upholding excellent office administration;
- High level computer literacy, including execution of Microsoft Office applications;
- Sound communication skills (oral and written);
- Excellent planning skills; ability to adapt to a dynamic work environment;
- Ability to work under severe pressure;
- Must be able to speak, read and write in at least two of the official languages of Kouga Municipality (Afrikaans, English, and Xhosa).
SPECIAL CONDITIONS
SALARY: R.07 - R.19 Per Annum
TASK: 10
DUTIES:
- Implements specific tasks/activities associated with the provision of secretarial support and personal assistance to the Director: Civil and Water Services;
- Maintains and accesses records of meetings and discussions, instructions and correspondence;
- Schedules, confirms and updates the diary/calendar of the Director: Civil and Water Services and prioritizes meetings, correspondence and emails requiring attention;
- Accumulates data, captures and formulates into presentations, reports and portfolio items;
- Liaises with Managers to ensure adherence to administrative requirements, action sheets and reports required from the Director Civil and Water Services;
- Adheres to daily and weekly data, records and statistics updates;
- Liaises with visitors to the Director: Civil and Water Services office and attends to their queries;
- Manages ordering of office supplies, printing and photocopying;
- Liaises with scribes and role-players to ensure Portfolio Minutes are signed off and returned;
- Reviews Council and Committee Agenda and Minutes to identify items related to the Director: Civil and Water Services;
- Updates the correspondence register with reference numbers and subject matter; seeks information and approval for routine matters and communicates responses;
- Prepares notifications, agendas and minutes for specific office events (Council/Executive Committee, Internal Meetings) and handles distribution or collection of documents prior to meetings;
- Maintains stock of standard forms and stationery and completes requisition orders to replenish items as needed;
- Performs additional secretarial tasks and personal assistance as required for the Director:
- Procurement of specific items as requested by the Director: Civil and Water Services.
