The Employee shall undertake the following duties, functions and responsibilities in addition to such other instructions, duties, functions and responsibilities as may be allocated to the Employee by the Company from time to time. The following sets out the duties and responsibilities of the Maintenance Manager. It should be noted that the duties and responsibilities set out below should not be seen as exclusive but could include duties on an ad hoc basis.
As a Maintenance Manager you are required to be on duty after hours in the event of an emergency. Security back up will be there to assist you as far as possible.
The main function of a Maintenance Manager is to be both the custodian of the building and the tenants that reside in the building. Therefore, the duties and responsibilities include, but are not limited to the following:
- Supervising and leading all maintenance processes, operations and maintenance staff.
- Tracking expenses and overseeing the budget for maintenance.
- Creating and implementing maintenance procedures.
- Conducting regular inspections of the facilities to detect and resolve problems.
- Planning and managing all repair and installation activities.
- Day to day maintenance from tenant requests.
- Ensuring all staff adhere to the safety policies and procedures.
- Assigning repair schedules and evaluating repair cost estimates.
- Documenting and preparing daily progress reports and maintenance logs.
- Overseeing equipment stock and placing orders for new supplies when necessary.
- Daily inspections.
- Weekly inspection.
- Monthly inspections.
- Midyear inspections.
- Annual inspections.
- Supervising all cleaning staff.
- Supervising all garden and landscaping.
- Supervising all security staff.
- Ensure all occurrences are recorded in the OB.
- That serious matters and breaches in security are reported immediately to your superior. Ensure the biometric access system is functional and is used by both tenants and visitors; no deviation is allowed.
- Ensure that the parking entrance is safe and that no intruders can gain access to the building via this entrance.
- To ensure that the number of persons staying in a unit is within the confines of the lease agreement; no densification is occurring.
- To enforce noise rules to ensure the happy existence of all tenants.
- Controlling CCTV and Bio Metrics.
- Pest control.
- Refuse removal.

- To ensure that fire systems are always in place and operating order.
- SLA Management
- Follow up and request expired SLAs
- Ensure all SLA services take place as per agreed timelines
- Ensure all COCs are in place and up to date
- OHS Act requirements and Risk Assessments
- Assist with day-to-day maintenance in and around the building
- Ensure maintenance assistant is on duty and attending to day-to-day maintenance
- Assist other building with emergency jobs
- Ensure water and electricity meter photo is submitted on the last working day of the month to COJ and copy the accountant and Property Manager in on the correspondence.
- Ensure maintenance book and job cards are booked and attended to daily
- Ensure emergency priority jobs are done asap
- Ensure high priority job are attended to within 48 hours
- Ensure low priority jobs are attended to within 72 hours to 7days
- This should neither be abused or passed onto any person without the correct protocol being followed. The handling of the master key to any person can seriously compromise the safety of the tenants living in the building and depending on the misdemeanour can be regarded as a dismissible offence.

- Students to adhere to House Rules and any incidence after working hours and weekends to be reported to the Student Life Manager to act accordingly
- Verifying cost of maintenance charges for students repairs and maintenance
- Ensure student not adhering to the house rules be reported to the Student Life Manager
- Ad hoc room inspections of problematic students & hygienic levels are maintained
- Submit recommendations based on pricing and service
- Ensure all completed work orders for the month is forecasted
- Ensure invoices are received once work is completed
- Ensure invoices are submitted for payment.
- Ensure to adhere to all POPI Act requirements
- Matric
- 3-5 years experience in a Maintenance/Building Management role
- Student accommodation experience preferred.
